When accountants meet with SME clients, the conversation can naturally focus on financial statements, tax obligations and compliance requirements.

But another question can open a very different discussion:

“What is keeping you awake at night?”

The answer might have very little to do with last year's accounts.

It could be cash flow.

Finding and retaining employees.

Pricing.

A customer who isn't paying.

Funding an expansion.

Planning succession.

Or simply uncertainty about what the business should do next.

Understanding these concerns gives advisers an opportunity to connect financial information with the real decisions and challenges facing the business owner.

Sometimes the starting point for advisory services isn't another report.

It's a better conversation.

An SME owner looks at the Profit and Loss Statement and sees a profit.

Then they look at the bank account and ask:

“Where did the money go?”

It is a common and important question.

Profit measures financial performance over a period. Cash flow measures the actual movement of money into and out of the business.

Cash may be tied up in unpaid customer invoices, additional inventory, equipment purchases or loan repayments.

This is why looking only at profit can provide an incomplete picture of financial health.

Encouraging SME clients to understand their Profit and Loss, Balance Sheet and Cash Flow Forecast together can provide a much clearer view of what's happening in the business.

For accountants and bookkeepers, helping clients understand these relationships is an important part of moving from reporting numbers to explaining what those numbers mean.

Sometimes a valuable advisory conversation begins with three relatively simple questions.

1. What profit would you like the business to achieve this year?

This creates an opportunity to examine the sales, margins, productivity and expenses required to reach that target.

2. What is currently causing you the most concern?

Cash flow? Employees? Pricing? Debtors? Growth? Funding? The answer can reveal where advice may be most valuable.

3. Where would you like the business to be in 12 months?

This moves the conversation from historical results towards planning and future action.

Advisory services don't always have to begin with a complicated report.

They can begin by understanding what the client wants to achieve, determining where they are today and identifying the actions that may help close the gap.

Are your trades clients charging enough to generate their targeted profit?

Being busy doesn’t always mean being profitable.

Charge-Out Rates should reflect labour costs, productivity, overhead expenses, materials markup and the owner's targeted profit.

A business can be profitable and still run short of cash.

That is why understanding the difference between profit and cash flow is so important for SME owners.

Sales might be increasing, but customers may not pay for 30, 60 or even 90 days. Meanwhile, employees, suppliers, rent, tax obligations and loan repayments still need to be paid.

Growth itself can also consume cash if the business needs additional stock, employees or equipment before receiving payment from customers.

A cash flow forecast gives management an opportunity to look ahead.

It can highlight potential shortages, identify periods when additional funding may be required and help management assess the financial effect of upcoming decisions.

The objective isn't to predict the future perfectly.

It is to give the business time to respond before a potential cash problem becomes an urgent one.

Accountants and bookkeepers can play an important role in helping SME clients introduce this forward-looking approach.
