Don’t Always Trust Automatic Bank Rules in Xero or QuickBooks Online
Automation is a powerful tool in modern bookkeeping, but it’s not foolproof. Bank rules in Xero and QuickBooks Online can save time by automatically categorizing transactions — yet relying on them blindly can lead to costly errors.
Very recent experience with two of our clients.
1. Blindly created the bank rules suggested by QuickBooks Online and applied them while doing the categorization:
-This resulted in personal expenses being recognized as business expense. For example, having food & drinks from a specific restaurant are all categorized as meals including the personal ones.
- Due to having bank rules in place and having enabled auto-add option, the transactions were automatically categorized as soon as they are imported into QuickBooks online. On the other hand, the client added the daily expense receipts into QuickBooks throughout the month which were not matched with the bank transactions because auto add option already categorized those bank transactions. This resulted in duplicate expenses and thus understatement of profit.
2. Never matched the bank's closing balance with the actual statement balance:
-Although both of the clients came up with full confidence that their previous bookkeeper did everything correctly but after a quick review, we found out that their bank's closing balance did not match with the real balance.
