Your bookkeeper shouldn’t only call when something has gone wrong.

That’s too late.

Good bookkeeping should help you spot things early, understand what matters, and stay ahead of the next deadline.

Sometimes that might be a quick message to say:

“This supplier bill looks higher than usual. Is that right?”

Or:

“Cash looks a bit tighter this month. Are you expecting any big payments in?”

Or:

“This VAT return is coming up, so let’s not leave everything until the last minute.”

None of that needs to be complicated.

It’s just about having clear numbers, useful questions, and practical support when you need it.

That’s how you get more from your bookkeeper.

Want to get more from your bookkeeper?
Ask better questions.

Not because there is such a thing as a bad question, but because the right question can give you much more useful answers.

Instead of:

“Is everything OK?”

Try asking:

“What should I be keeping an eye on this month?”
“Is there anything in the numbers that looks different?”
“Are my costs creeping up anywhere?”
“Is there anything I could send over sooner next time?”

That is where bookkeeping becomes more useful.

Not just processing what has already happened, but helping you understand what is happening in your business now.

You do not need to know all the answers.

But asking the right questions is a very good place to start.

A year’s worth of receipts in one email is not “getting organised”.

It is usually the start of a very long afternoon. 😅

Not because we don’t want to help, but because the useful bit of bookkeeping happens before everything is months old.

When you send receipts and paperwork over regularly, we can process things faster, ask questions while the details are still fresh, and spot small issues sooner.

A missing receipt.
A duplicate payment.
A supplier invoice that doesn’t look quite right.
A cost that has crept up without you noticing.

Those things are much easier to sort as you go along, rather than months later when no one can remember what happened.

Most importantly, your numbers are more useful while there is still time to do something with them.

When receipts are missing.
When questions go unanswered.
When paperwork gets left in a pile for “later”.

🧾 Keeping receipts

If you’ve forgotten what we explained last month, ask again.

You don’t need to know what a balance sheet is.
You don’t need to understand bookkeeping jargon.
You don’t need to know how to reconcile your bank account.

That’s our job.

Your job is running your business.

Our job is helping you understand the numbers that matter, without making it more complicated than it needs to be.

One of my bookkeeping clients showed me her Chinese money toad yesterday.

She keeps it on her desk because it is supposed to bring wealth and good fortune into the business.

Apparently, you have to face it into the room so the money comes in.

Which is lovely.

But it made me think…

It still will not reconcile the bank.
It will not notice the VAT bill coming up.
It will not tell you which customers have not paid.
And it definitely will not warn you that cash flow is about to get tight.

That is why up-to-date bookkeeping matters.

Because if you are running the business from the bank balance, you are only seeing part of the picture.

Good luck is lovely.
But good numbers are much more useful.
