Bookkeeper vs Accountant – What's the Difference? 🤔
Many business owners use the terms interchangeably, but they each play a different role in keeping your business financially healthy.
📒 A Bookkeeper keeps your day-to-day finances organised by:
✔ Recording transactions
✔ Categorising expenses
✔ Managing invoices
✔ Reconciling bank accounts
📊 An Accountant takes that information and helps you:
✔ Understand your financial performance
✔ Prepare reports and accounts
✔ Stay compliant with HMRC
✔ Plan ahead with tax advice and strategic guidance
At Calculated Accountancy, we provide both bookkeeping and accounting services, giving you accurate records and expert advice to help your business grow.
Whether you're just starting out or looking for more support, we're here to help you make confident financial decisions.

Many small business owners don't realise they're missing out on legitimate business expenses.

Common examples include:

✔ Business mileage
✔ Mobile phone
✔ Home office costs
✔ Software subscriptions
✔ Professional memberships

Every business is different, so it's important to understand what applies to you.

One simple habit can save you hours of bookkeeping...

Use a separate bank account for your business.

It makes it easier to:
✅ Track expenses
✅ Complete your tax return
✅ Understand your cash flow
✅ Stay organised throughout the year

Sometimes it's the smallest changes that make the biggest difference.

💬 Do you already have a separate business account?

Can this be claimed as a business expense?

If you're a sole trader
If the laptop is used 100% for business, you can usually claim the full cost.
If it's used for both business and personal use, you can only claim the business-use proportion. For example:
Laptop cost: £1,200
Business use: 80%
Claim: £960
If you run a limited company
If the company buys the laptop for business use, the company can usually claim the cost as a business expense (typically through capital allowances, although many businesses can deduct the full cost under the Annual Investment Allowance or other reliefs).
If there is significant personal use, there may be tax implications, particularly if the laptop is provided as a benefit. However, laptops provided primarily for work are often exempt from a benefit-in-kind charge.
What you should keep
The purchase receipt or invoice.
Evidence that the laptop is used for your business.
If there is mixed use, a reasonable basis for calculating the business-use percentage.
Example

You buy a laptop for £900:

100% business use: Claim £900.
75% business use (sole trader): Claim £675.

If you're using accounting software like Xero, QuickBooks, or FreeAgent, you would normally record it as a fixed asset rather than a day-to-day expense, especially if it's a more expensive laptop intended to be used over several years.

📄 Spend Less Time on Paperwork. More Time Doing What You Love.

When you started your business, chances are it wasn't because you loved bookkeeping, receipts, and tax returns.

You started because you enjoy what you do—whether that's styling hair, walking dogs, running a salon, building homes, or helping your own customers.

But for many business owners, evenings and weekends end up being spent catching up on paperwork instead of relaxing, spending time with family, or growing their business.

That's where we can help.

At Calculated Accountancy, we take the stress out of bookkeeping, accounts and tax so you can spend more time focusing on what you do best.

✔ Less paperwork
✔ Less stress
✔ More time for your business—and yourself

Because your time is valuable, and it should be spent doing what you love.

📞 If you'd like friendly, straightforward accounting support, we'd love to hear from you.

Running a business is hard enough.

You shouldn't have to spend sleepless nights worrying about:

❌ Tax deadlines
❌ VAT returns
❌ Payroll
❌ Bookkeeping
❌ HMRC letters

The right support gives you confidence that everything is under control.

And that's often worth more than the numbers themselves.

👇 What's your biggest financial headache as a business owner?

20/07/2026

True or False...

You need to keep every paper receipt.

In the UK, yes—you should keep records to support every business expense you claim, but that doesn't necessarily mean you need to keep a paper receipt for everything.

HMRC expects you to keep evidence such as:

Receipts.
Invoices.
Bank or credit card statements.
Digital copies (photos or scans are fine if they're clear and legible).
If you've lost a receipt

You may still be able to claim the expense if you have other evidence, such as:

A bank or card statement showing the payment.
An emailed receipt.
An invoice from the supplier.
A note explaining what the purchase was for and why the receipt is unavailable.
How long should you keep records?

For most businesses, you should keep records for at least 5 years after the 31 January submission deadline for the relevant tax year if you're required to file a Self Assessment tax return. Limited companies generally have different record-keeping requirements under company law and corporation tax rules, so they often need to keep records for at least 6 years.

Practical advice

It's a good habit to photograph or scan receipts as soon as you get them. Many accounting apps (such as Xero, QuickBooks, and FreeAgent) let you attach a digital receipt directly to the transaction, making it much easier to keep complete records.

While HMRC doesn't insist on a receipt in every single circumstance, the stronger your evidence, the easier it will be to justify a claim if you're ever asked about it.
