I’m a huge advocate for AI and use it every day in my bookkeeping firm.

AI has helped us automate repetitive tasks, reduce manual data entry, and work more efficiently than ever before. If there were a magic button that could clean up books perfectly, trust me, I’d be the first person using it.
But bookkeeping isn’t just about speed.

AI can scan receipts, suggest categories, match transactions, and even assist with reconciliation. Those are all valuable tools.

What AI can’t do is understand the full story behind your transactions.

It doesn’t always recognize when a POS deposit contains multiple revenue streams. It may not catch when a bank feed duplicates transactions, misses transactions altogether, or imports data incorrectly. And it can’t replace the accounting judgment needed to determine whether something is truly accurate.

That’s why cleanup work still requires investigation, accounting knowledge, and human oversight.

The future of bookkeeping isn’t AI versus bookkeepers. It’s AI and bookkeepers working together.

The best results come from combining smart technology with someone who understands what the numbers actually mean.

I'm a huge advocate for AI and honestly love all things AI.

We use it every day at Oak and Ledger, and it has helped us eliminate hours of manual work by automating repetitive bookkeeping tasks.

In fact, if AI could truly do all cleanup work on its own, by golly, we'd be implementing it for every cleanup project that came through our door.

But that's not the reality.

One of the biggest claims right now is that AI is "reconciling your books." The question is: what does that actually mean?

In many cases, it simply means that if a transaction has already been categorized or matched through the bank feed, and the transaction date falls within the period being reconciled, the software automatically checks it off.

For recurring transactions that look the same month after month, that's fantastic.

Where things get complicated is when bookkeeping requires investigation and judgment.

AI is great at:
• Scanning receipts
• Suggesting transaction categories
• Matching simple transactions

But cleanup work still requires:
• Accuracy
• Investigation
• Accounting knowledge
• Human judgment

For example, a single POS deposit may contain product sales, service revenue, tips, sales tax, gift card activity, and processing fees all rolled into one deposit. AI often can't determine how those funds should be properly recorded.

The same thing happens when bank feeds don't import transactions, import the same transaction multiple times, or pull in duplicate activity. AI doesn't always recognize that something is missing or duplicated. It simply works with the information it's given.

That's why cleanups still require a real person reviewing the details, asking questions, and understanding what's actually happening behind the numbers.

AI is an incredible tool, and I believe it's making bookkeepers more efficient than ever before. But it's still a tool, not a replacement for professional review and expertise.

AI is one of the best things to happen to bookkeeping.

I use it every day, and it saves me roughly 16 hours per week. It handles repetitive tasks incredibly well and allows me to spend more time reviewing financials, answering client questions, and helping business owners understand their numbers.

But here’s the part most accounting software companies don’t talk about:

🌳 AI is only as good as the information it’s given.
🌳 If you have a simple recurring transaction, AI will likely get it right.
🌳 If you have a POS system depositing a lump sum that includes sales, tips, fees, loan payments, and other activity, things get much more complicated.

The software sees a transaction. A bookkeeper sees the story behind the transaction.

The future of bookkeeping isn’t AI versus bookkeepers. It’s AI and bookkeepers working together.

I started a bookkeeping business to build something flexible.

What I didn’t expect was how much I’d fall in love with building the backend of it… the systems, the structure, and the websites.

Over the past year, I’ve worked with clients and had so many conversations with other entrepreneurs just starting out.

You don’t need all the details to know when something feels off. What matters is that you trust it.

Situations like this happen more often than you think, and they usually don’t start with something obvious. It’s small inconsistencies, urgency, things not quite lining up. That’s where businesses get caught. Not because they weren’t smart, but because they moved too quickly to “just get it done.”

Protecting your business isn’t just about making money. It’s about controlling how money moves.

That means slowing down when something doesn’t add up, verifying before acting, and having systems in place that don’t rely on guesswork. Because once money leaves your account, it becomes a lot harder to fix.

This is exactly why internal controls matter. Simple checks, clear processes, and separation between accounts are what prevent small issues from turning into real losses.

And one of the easiest ways to protect yourself is how you structure your banking. When everything runs through one account, you’re exposed. When you separate operating, payments, and reserves, you limit risk and keep control.

🚩 Be skeptical.
🚩 Protect your cash.
🚩 Don’t give out your banking information freely.

Here are 7 smart things to do right after tax season.

- Review your tax return so you understand where your money actually went

- Set a plan to set aside a percentage of income each month for next year’s taxes, adjust your estimated tax payments if needed.

- Update your bookkeeping system or processes if anything felt disorganized during tax preparation.
