I had a new client come to me last month with a stack of bank statements and a QuickBooks file that looked like it had been through a blender.

Here's what happened. The owner wanted to save money, so he started entering transactions himself. Nothing wrong with that instinct. But without knowing the categories, he lumped everything into "Miscellaneous." Personal purchases got mixed in with business expenses. A few deposits got entered twice.

A few things worth checking each month:

Revenue trend, not just the total. One good month can hide a slow decline.

Gross margin, not just gross profit. The dollar amount can grow while your margin quietly shrinks.

Missing expenses. If a category looks unusually low, it's often because something hasn't been recorded yet, not because you spent less.

Net income tells you whether you were profitable. It doesn't tell you why. The categories above it usually do.
