The number Shopify puts in your bank account is not your revenue.

Every payout already had card fees, refunds, and holds pulled out. At 2.9 percent plus 30 cents a transaction, a $10,000 month with 200 orders loses about $350 to fees before the money lands. Book the deposit as sales and you understate revenue and hide your fees in one line.

The fix: book gross sales, then fees and refunds separately, so your margin is visible.

If you spend everything Shopify deposits, April is going to hurt.

Here's the number we give clients: 15 percent of every deposit goes into a separate tax account the day it lands. On a $10,000 month, that's $1,500 set aside before you can spend it. When the quarterly estimate comes due, the money is just sitting there. No scramble, no credit card.

Your percentage might differ. The separate account and the schedule are what matter.
