We're past the halfway mark of the year, which makes this a good moment to ask: how current are your books, really?

Mid-year is a great time for a quick cleanup; reconciled accounts, categorized expenses, no mystery transactions sitting in "ask my accountant later." Not because a deadline is coming, but because clean, current books make everything easier: loan applications, planning conversations, and handing things off to your CPA down the road.

Quick bookkeeping tip: revenue and profit are not the same number, and mixing them up can throw off how you think your business is doing.

Revenue is everything that came in. Profit is what's left after expenses go out. If you're only glancing at the top line of your P&L, you might feel richer (or poorer) than you actually are.

You don’t have to wait until your books are a complete mess to ask for bookkeeping help.

Sometimes the signs are much quieter.

You’re putting off reconciling accounts.

You’re not sure whether the reports are accurate.

You have questions about transactions you categorized months ago.

Or you just stopped looking because every time you open the books, it feels like another thing you don’t have time to deal with.

That’s usually a good sign that something needs to change.

Bookkeeping should give you clarity, not another task hanging over your head.

Pop quiz. Your books say “Amazon, $284.” Any idea what you bought?

You see a $284 charge from Amazon in your business account.

What was it?

Office supplies?

Equipment?

A client purchase?

Something for the rental?

Or a personal order that accidentally landed on the business card?

This is why I’m always telling business owners that the transaction amount and vendor name don’t tell the whole story.

Good bookkeeping needs context.

And six months later, “Amazon, $284” probably isn’t going to jog your memory. Save yourself the guessing game and keep your books updated while the transactions are still fresh.

I feel like every business owner has at least one bookkeeping category they’re hoping nobody asks about.

“Ask My Accountant.”

“Miscellaneous.”

“Other Expense.”

And my personal favorite, a transaction that was categorized months ago and now nobody remembers what it was for.

At the time, it probably made perfect sense.

Six months later? Not so much.

Bookkeeping gets interesting when you start asking questions.

Sometimes the answer is simple. Sometimes we’re doing a little detective work.

Either way, I’d rather find it now than have you staring at it during tax time wondering what happened.

Just a friendly reminder that “I’ll deal with QuickBooks later” is how bookkeeping starts plotting against you.

Small business bookkeeping has a funny way of going from:

“I’ll categorize those transactions later.”

To:

“Why are there 147 transactions waiting for me?”

And somehow, “later” always arrives during the busiest week possible.

If your books have gotten away from you, you’re definitely not the only business owner who’s been there.

But ignoring them for another month usually doesn’t make the cleanup any prettier.

If your transaction list is getting a little intimidating, this is something I clean up all the time.
