If you pay subcontractors or independent contractors, now is the best time to get ready for 1099 season.

Pull a vendor list. Request missing W-9s while people are easy to reach. Tag your 1099 vendors in QuickBooks or Xero.

One update to note: for payments made in 2026, the federal 1099-NEC threshold is $2,000 per payee for the year, up from $600. Track totals by vendor, and check your filing needs with your tax professional.

October gives you time. Time to reconcile accounts, sort uncategorized transactions, track down missing receipts, and fix balances that look a little off.

That sentence can become expensive when the additional work never makes it onto the final invoice.

A small scope change may require extra labor, additional materials, another subcontractor visit, or more equipment time.

If those costs are recorded but the additional revenue is not billed, your books eventually tell the story through a smaller margin.

Create a consistent process for documenting changes, getting approvals, tracking the related costs, and confirming they are billed before the project closes.

Your team should not be doing profitable work for free simply because the paperwork did not keep up.
