Your business involves a lot of moving pieces.

Hotels. Guides. Transportation. Activities.

Sometimes across multiple countries, currencies, and timelines.

I see this all the time with tour operators:
All those trip deposits hit your account… and suddenly it looks like you had a very profitable month.

But in reality? That money hasn’t been earned yet.

It’s tied to future trips, future expenses, and future obligations.

And when deposits are recorded as income too early, it can lead to:
Overstated revenue
Confusing reports
Unexpected tax bills

If you’ve ever looked at your numbers and thought,“Something feels off…” This could be why. Your bookkeeping should reflect when income is actually earned—not just when cash comes in. A common challenge for tour operators is this feeling that they are incredibly busy but cash can still feel tight.

In your world, money doesn’t flow in a straight line. Deposits come in months before a trip, your expenses get paid before and during travel, and final payments can be delayed.
So the balance in your bank account doesn’t always tell the full story.

Some of that money is already spoken for and depending on the time of year, you might be waiting on some funds to appear.

If your bookkeeping isn’t clearly separating what’s committed, what’s upcoming, and what’s actually available it’s really hard to make confident decisions.

I'm not talking about clicking ""accept"" on all of your bank transactions and letting auto categorization rules do their thing...

I'm talking about thuroughly reviewing each bank account and credit card statement and ensuring transactions are hitting the appropriate buckets!

If you haven't done this since February (or even earlier), you need to outsource your bookkeeping ASAP. 📚

This mistake happens MORE often than you'd think... and it can result in you paying thousands more in taxes!

It's DOUBLE-COUNTING your income. 💰

If you sync your payment processor or point-of-sale system to your bookkeeping software, sometimes these integrations can glitch and double up your sales. 🫠

If you don't catch this before you file your tax return, you're going to report WAY more income than you actually earned.

Sound like a mess...it sure is. But I am here to help ensuer these mistakes don't happen so you don't have to worry about it.

If you're not using the memo field in your bookkeeping software when you enter transactions, you're missing out!

✍️ For transactions that are pretty self-explanatory, you can skip the memo...

But for transactions that could benefit from a little additional explanation, I strongly suggest putting as many details in your memo as possible. 📝

It's SO tough to remember the details of who attended the business lunch you had in January when it comes to filing your taxes a year later!

Need a real-life example?

If you accidentally put a personal expense on your business card, you want to call this out in the memo and reclassify it so it doesn't end up accidentally deducted on your tax return!

This photo is from a group trip my husband and I took to Sicily a few years ago. One of the best parts was doing yoga every morning with the other members of the group (here with Mt Etna in the background). Travel takes you to amazing places, but it also connects you to other people and new experiences.
