The best time to collect a W-9 is before you need it.
When you work with independent contractors, consultants, or other vendors, collecting the right tax documentation should be part of your regular bookkeeping process.
Waiting until year-end to track down missing W-9s can mean chasing emails, confirming business details, and sorting through months of payment records when your attention is already divided.
๐ธRequest a completed W-9 early. Make it part of your vendor onboarding process, ideally before making payments.
๐ธMaintain organized vendor records. Keep completed forms in a secure, accessible location with the corresponding vendor information.
๐ธTrack payments throughout the year. Maintain accurate records of payments by vendor so you can identify potential reporting requirements well before deadlines.
๐ธReview your records before year-end. Identify missing documentation, verify vendor details, and coordinate with your tax professional about applicable reporting requirements.
Remember, not every vendor payment is reportable in the same way, and requirements can vary depending on the payment type and circumstances. A completed W-9 provides taxpayer identification and business classification information, but it does not replace the need to review applicable reporting rules.
Vendor documentation is much easier to manage consistently than to reconstruct under a deadline and makes issuing those 1099s a LOT easier too! & What's better than a little help with it all! We love a good clean up project over here at EBS ๐งน๐ฑ
