Your bank balance and your profit are not the same thing. šŸ’°

It’s possible to have money in the bank and still have an unprofitable business—or show a profit on your Profit & Loss report without having that same amount of cash available.

Why the difference?

• Loan payments can reduce cash without the principal portion being an expense
• Owner draws or distributions reduce cash but don’t appear as expenses on your P&L
• Credit card purchases may affect your expenses before the card is actually paid
• Money owed to you may be included in income before you’ve collected it, depending on your accounting method
• Equipment purchases and other balance sheet transactions can affect cash differently than profit

Your P&L tells you how the business performed. Your balance sheet and cash position show you different parts of the financial picture.

šŸ“Œ Bookkeeping tip: Don’t use your bank balance alone to decide how well your business is doing. Your financial reports give you a much more complete picture.

What does your Profit & Loss report actually tell you?

Your Profit & Loss (P&L) report shows how your business performed over a specific period of time by comparing the income you earned with the expenses you incurred.

A P&L can help you understand:

• Where your revenue is coming from
• Which expenses are increasing
• Whether your business is operating at a profit or loss
• How your results compare from month to month or year to year
• Where you may need to take a closer look

Reviewing your P&L regularly can help you spot trends and understand what's happening in your business before something becomes a bigger issue.

Bookkeeping tip: Don't just look at the bottom-line profit. Compare the individual income and expense categories to prior periods—that's often where the useful information is.

When was the last time you reconciled your business accounts?

Reconciling is the process of comparing the transactions in your bookkeeping records to your bank and credit card statements to make sure everything matches.

Regular reconciliations can help identify:

• Missing or duplicate transactions
• Incorrect transaction amounts
• Bank fees or charges that weren't recorded
• Transactions that may have been categorized incorrectly
• Differences that could affect your financial reports

Keeping your accounts reconciled regularly helps ensure the numbers you're using to make business decisions are based on complete and accurate information.

Bookkeeping tip: Don't wait until tax time to discover that your accounts haven't been reconciled in months.

If you're not sure when your accounts were last reconciled, it may be worth taking a look.

Are your books trying to tell you something? šŸ“š

Here are 3 signs your bookkeeping may be due for a cleanup:

• Your bank or credit card accounts haven't been reconciled in months.

• You're seeing duplicate, uncategorized, or questionable transactions in QuickBooks.

• You don't feel confident that your financial reports are accurate.

If any of these sound familiar, it may be time to take a closer look at your books. Regular reconciliations and accurate transaction categorization help keep your financial reports reliable—and make it much easier to understand how your business is actually performing.

Bookkeeping tip: Don't wait until tax time to find out something is off. Reviewing your books each month makes problems much easier to identify and correct.

We’re hiring Kennel Techs (full-time + part-time) at Aloha ʻĪlio Rescue.

We’re more than a rescue, we’re a community. Every day we give dogs a real chance at a happy, healthy life while supporting the people who love them and strengthening our island together.

This work is hands-on, physical, and not always easy. Cleaning, feeding, walking, and caring for a lot of dogs takes heart and hustle. If that sounds like you and you want to be part of something built on compassion, connection, and giving back, we’d love to hear from you.

It’s not easy. It’s worth it.
