Are you a sole proprietor (individual) or a C-corp?

Did you file an extension for your 2024 federal tax return?

If so, October 15th is the due date!

The following extended tax returns are due:
🔆 C-corps: Form 1120
🔆 Sole proprietors & individuals: Form 1040

Don't let this deadline pass you by! Filing on time means avoiding unnecessary late fees and penalties - money better kept in your pocket.

I love being a bookkeeper because I truly love supporting small businesses.

I’ve had the opportunity to learn about and work with so many businesses near and far, from Phoenix, Arizona, to all over the country (one of the perks of being a remote business!).

I love hearing about how the business got started and the journey it took them to get to where they are today.

Whether they started out by helping the business their parents built or had a dream of creating their own. Maybe they had a vision to bring high quality services to their clients, to improve community health, or bring fun and colorful crafts to their farmers market!

The IRS requires S-corp owners to pay themselves a reasonable salary for the work they perform before taking additional profits as distributions.

Why does this matter? A reasonable salary keeps you compliant with IRS rules and ensures payroll taxes are handled correctly.

So, what counts as “reasonable”?

🔆 Look at industry standards for your role
🔆 Factor in your specific duties, time, and responsibilities
🔆 Keep documentation showing how you arrived at the number

When you pay yourself properly, you’re protecting your business and reducing the risk of IRS penalties.

As a successful business owner, you got to where you're at because of your resourcefulness and an 'anything is figure out-able' attitude. It's a great attribute to have! But when it comes to bookkeeping for your business, it's a different story.

DIYing can work for Canva, using that new CRM software or task managing tool. But when it comes to learning to use bookkeeping software, haphazard guesses lead to messy and inaccurate books.

Messy + inaccurate books can lead to costing you hundreds if not thousands in clean up fees when you finally realize your books aren't quite as accurate as you thought.

And when your books aren't accurate, you pay the price by either under or over paying taxes. Neither are good.

Overpaying taxes = losing profit that you could have kept in your business.

Underpaying taxes = risking late fees and penalties.

Not to mention, inaccurate books = no idea what your *actual* current standing in the business is.

Is your profit accurate? Are your expenses accurate? What about those tax deductions that you didn't even know about?

Here’s the thing: Googling shouldn’t be your bookkeeping strategy. We're here to support you, handle the numbers, and keep things running smoothly, so you can get back to what you actually love doing.

When an expense is both business AND personal... what do you do?

Not every expense falls neatly into one category of either purely business, or purely personal. Some expenses serve your business *and* your personal life.

But that doesn’t mean you can deduct the entire expense.

So how do we record these expenses and take advantage of those deductions? Especially because recording expenses allows you to accurately reflect your profit, so that you don't over pay in taxes!

Examples of common mixed-use expenses:

• Phone bill used for client calls and personal calls
• Internet for running your business and streaming Netflix
• Car used for business trips and family errands
• A home office in your living space

How to handle it:

• Deduct only the business portion (not 100% of the cost)
• Keep records to show how you calculated the split
• Use phone bills, mileage logs, or work hours as your guide
• Home office: depends on if the space is *solely* used for business. Generally, $5 per sq ft can be deducted.

Claiming 100% of a mixed-use expense when it’s clearly not all business can raise red flags.

✅ all accounts categorized + reconciled
✅ updated reports sent to shared drive
✅ easy to understand video walkthrough of their reports

Reconciliation Tips for Small Business Owners:

Keeping your accounts reconciled isn’t just busywork, it’s what keeps your business finances accurate and stress-free.

Here are a few tips to make it easier:

- Get all of your bank and credit card statements together before you start.

- Do a line-by-line review by matching each bank or credit card transaction with your records, checking amounts, dates, and descriptions.

- Recognize that some transactions in your books may not have cleared the bank yet, such as outstanding checks or deposits in transit.

- Be vigilant for typos, incorrect amounts, or duplicate entries.

- Review reports after reconciling to spot errors early.

- Reconcile monthly instead of waiting until year-end.

Clean, reconciled books mean fewer surprises, smoother tax prep, and better decisions for your business.

Lately it feels like I’ve been juggling a lot - and I'm sure many business owners can relate.

Between running my bookkeeping business, supporting multiple clients, and finishing my accounting degree (and just life in general) - it can get busy!

So today I want to take a moment to reflect on the progress I've made. It's easy to overlook our own progress, especially when we’re comparing ourselves to others or focused on where we wish we were. But it's important to pause once in a while, and appreciate the journey and how far we've come🙂.

I started Lume Bookkeeping in April 2025 (the month I officially filed the LLC). It’s been just 4 months and in that time, I’ve had the opportunity to:

Work with 6 businesses as a bookkeeper
Continue my BS in Accounting
Enroll in a specialized bookkeeping course to deepen my skills
Market my services and create content
Meet potential clients and have some great discovery calls

I genuinely love what I do. Helping small business owners feel more in control of their finances is deeply rewarding.

It happens. You sent the invoice. Followed up. And... crickets.

No payment. No communication.

So... what now? How do you handle it QuickBooks?

Here’s what to do:

1. Leave the invoice open. Don’t delete it.

2. Add internal notes. Record the follow-up dates, attempts to collect, and any relevant details. This helps if you ever need to reference it or prove your attempts.

3. Create a “Bad Debts” expense account if you don’t already have one.

4. Set up a non-inventory item called “Bad Debts” and link it to that account.

5. Create a credit memo using the “Bad Debts” item. Add your customer’s name, invoice amount, and any relevant info.

6. Confirm the credit memo offsets the invoice. QuickBooks will apply it automatically if there’s only one open invoice, but if there are multiple, you’ll need to manually apply it to the correct one.

This process keeps your income accurate, your records clean and up-to-date.
