Alright everyone it's "Jargon-Free Friday." Today's word is "reconciliation." What does "reconciliation" actually mean? πŸ€”

It's simple β€” it's matching what your books say against what your bank statement says, line by line, until they agree. That's it.

Why it matters: Books can look neat and organized and still be wrong underneath. Reconciliation catches the duplicate entries, missed transactions, and bank fees before they become bigger problems.

If your accounts haven't been reconciled in a while, that's the first thing I check in a free books evaluation.

Texas sales tax deadlines, simplified πŸ‘‡

πŸ“… Monthly filers: due the 20th of the following month
πŸ“… Quarterly filers: due April 20, July 20, October 20, January 20
πŸ“… Annual filers: due January 20 for the whole prior year

The #1 mistake? Thinking your quarterly return is due the day the quarter ends. It's not β€” you get 20 extra days. And yes, even a $0 sales period still needs a return filed or you risk a penalty.

Not sure which schedule you're on or when your next deadline is? Let's figure it out together.

Before I was a bookkeeper, I was a journalist at publications like TechCrunch, Crunchbase News, and the Houston Business Journal β€” 20 years of asking founders hard questions. Before every interview, I'd study their numbers first.

I still do that for every new client. Here are the 3 numbers I check first, before anything else:

πŸ’° Cash position & runway β€” how long can you operate at your current spending?
πŸ“ˆ Gross margin trend β€” steady, growing, or slipping?
🧾 Accounts receivable aging β€” how much money is "yours" on paper but not in the bank yet?

If you're not sure how your business would score on all three, let's talk. Free books evaluation, no obligation.

Do you have confidence when making business decisions?

With all that is going on in this economy, I hear business owners say that bookkeeping is not important right now. Fair enough.

But here's where "decent" bookkeeping and "good" bookkeeping is important: Giving you every confidence when making business decisions.

Answer the following questions: Do you know what the business can afford right now? Do you know which parts of the business are the most profitable?

Decent bookkeeping will not help you with those answers. Good bookkeeping will.

Good bookkeeping tells you:

1) You can confidently raise prices.
2) When it's time to hire someone.
3) If you can make a big purchase.
4) Which services are actually making money.
5) There's a cash flow problem before it becomes a bigger issue.

When you have confidence to make good business decisions, this is where the value of good bookkeeping becomes real.

I'll partner with you to turn a clean P&L into a useful tool that includes an even bigger benefit of having reliable numbers you can actually use to run your business.

Let's talk!

Be honest: Do any of these sound like you? πŸ‘‡

βœ”οΈ Months of uncategorized transactions in your bank feed.
βœ”οΈ You don't know your balance without logging in and guessing.
βœ”οΈ You've stopped opening your P&L because it's confusing.
βœ”οΈ Tax season is a scramble, not a routine.
βœ”οΈ "I'll catch up next month." (again)

Falling behind isn't just stressful, it's expensive. 82% of small businesses that fail point to poor cash flow management.

Don't have to keep guessing. I offer a free books evaluation so you know exactly where you stand β€” no pressure, no obligation.

Did you start your business a year ago? Have you been hustling this whole time, but not seeing results yet?

Here is some advice from your peers in Alignable:

πŸ‘ "Keep believing (even when no one else does). But you also have to be flexible enough to pivot and adjust as you go."

πŸ’° "Get total clarity on your actual numbers, so you aren't making major calls out of panic or exhaustion."

πŸ• "Year one is only to set the foundation and to start to build momentum. By continuing to put in the work, results will show over years at a time but, you must continue to put in the work regardless until you reach your destination. Remember, it takes 10 years to become an Overnight Success."

πŸ’ͺ "Working hard for a year without seeing results usually means there is a disconnect between how the owner sees things and what is actually happening in the market. Sit down with them, listen to how they run things, and help them figure out where their perception does not reflect reality."

πŸ’¬ "Be unique in your communication and messaging to your audience."

What advice would you give a new entrepreneur?

Some people picture bookkeeping as someone entering numbers into a computer.

Yes, it's some of that...

However, recording transactions is only part of the job.

A good bookkeeper speaks with their clients to answers to questions like:

1) Is my business becoming more profitable?
2) Can we afford to hire another employee?
3) Which expenses have been increasing over the past few months?
4) Are we at the point where we can we comfortably take on that big project?

Those aren't your typical data-entry questions. They're business strategy questions.

And answering them requires more than entering numbers into a software program.

It requires understanding your goals, your industry, and the decisions you're trying to make.

That's why bookkeeping isn't just about keeping records.

It's about helping you move your business forward with confidence.

Are you horrible at staying on top of your monthly bookkeeping activities?

I asked small business owners on Alignable to tell me what they do to keep up with bookkeeping. Here are 5 tips:

1️⃣ "Get out of the weekly spreadsheet grind and into actually knowing what the numbers are saying."
2️⃣ "Put it on the calendar the same morning every day or week. AND KEEP THE APPOINTMENT!"
3️⃣ "Take the time to understand the flow and the time it takes."
4️⃣ "Make sure there are checks and balances."
5️⃣ "Keep records of investments and personal bills against income and business bills separately."

πŸ“© If you'd rather trust a bookkeeper to do this, message me or visit cmbookkeepingservices.com to find out more and book a time to talk.
