Letโ€™s be clear.

๐Ÿ‘‰ Money moved from trust to business must have a reason.
What was it for?
Fees? Disbursements? Deposit?
Where is the invoice that supports it?

What exactly is being hidden in those invoices?

Because hereโ€™s another issue that comes up often:
Money is coming into the business account, but there are no invoices.
No billing.
No paper trail.

And yet โ€” Iโ€™m very certain this was covered in law school:
โœ” Clients must be invoiced
โœ” Deposits must go into the trust account, not business
โœ” Business income must be supported by invoices

So why are deposits being received directly into business accounts?
Why is client money treated casually?
Why is documentation an afterthought?

Let me say this clearly:

Why?

Because the attorney bumped into the client in the court corridors and rendered the service there.
No time to invoice.
No paper trail.
Just money sitting in the account.

Let me be very clear.

Even if the work was done in the court corridors โ€” which can happen โ€”
the money still needs to be invoiced.

Silence is not a bookkeeping method.

If you receive such work, do something very simple:

โ€œClient X
Service rendered: Y
Fee: R amountโ€

Thatโ€™s it.

Your bookkeeper can then:

Because when money comes in and there is no invoice, that money becomes a problem:

Source documents are your receipts, invoices, slips, and proofs of payment.
They are the evidence that a transaction actually happened.

From the very first day your firm starts operating, these documents must be kept and safely stored.

Why?

Because the moment you start your bookkeeping journey, your bookkeeper will (and should) ask for source documents. Not to be difficult โ€” but because bookkeeping relies on proof.

For example:
Your bank statement shows R2,000 paid to SPAR.
You may say it was for stationery.

But without the receipt that shows what was bought, we cannot:
โ€ข Allocate the expense correctly
โ€ข Apply the correct tax treatment
โ€ข Defend the transaction if ever questioned

A bank statement alone is not enough.

In legal practice, assumptions are risky.
Documentation is protection.
