Is your business safe from a records audit?

The "6-Year Rule" is one of the most important and often forgotten requirements for Canadian business owners.

The Canada Revenue Agency requires you to keep all business records and supporting documents for six years from the end of the last tax year they relate to.

If you get a call from the tax office and cannot provide the original receipts or documents for a deduction you claimed five years ago, they can disallow the expense and charge you interest.

Why you shouldn’t clear out your filing cabinet just yet...

Did you know that in the eyes of the Canada Revenue Agency, a transaction didn't happen unless you can prove it with a receipt even years later?

One of the most common mistakes business owners make is shredding their "old" paperwork too soon.

In Canada, the general rule is that you must keep all records and supporting documents for six years after the end of the tax year they relate to.

This includes:⬇️
Paper and electronic receipts.

Bank and credit card statements.

Sales invoices and contracts.

Payroll records and employee information.

If you are filing your 2025 taxes this year, that means you need to keep those records until at least the end of 2031!

Pro Tip: Thermal paper receipts (like the ones from gas stations or hardware stores) tend to fade after just a few months.

We highly recommend scanning these or using a digital bookkeeping tool to store a clear photo.

Digital copies are legally accepted and much easier to store for six years than a shoebox full of faded paper!
