Uncashed supplier cheques make your bank balance lie.

You look at your online banking screen, see a comfortable cushion, and approve new shop inventory or extra contractor hours. Meanwhile, three trade vendors are holding paper cheques from September in their desk drawers. The second those clear, your safety buffer evaporates overnight.

Looking strictly at live bank feeds hides what you already committed to spend. Clean bookkeeping accounts for issued payments the minute they leave your hands, giving you a true view of actual cash before supplier drafts hit.

Does your team run regular uncleared balance checks, or do you mostly trust the bank app number?

If you sell through digital marketplaces, the numbers deposited into your bank account are not the numbers the CRA looks at.

Marketplace fees, shipping adjustments, and processing cuts get sliced off before the payout hits your bank feed. If you only log the net deposits, your reported revenue is off from the data platforms send directly to tax authorities. That small gap between gross sales and net payouts creates costly audit headaches down the line.

Are you matching your monthly platform payouts back to gross sales, or are you just recording the net deposit? Drop your thoughts below.

Track your digital platform sales with precision. Learn how to protect your margins, align records, and maintain CRA sales compliance across every channel.

Funny how a single unfiled vendor invoice from August can quietly throw off your entire fourth-quarter margin planning.

Most business owners around York Region are focusing on fall revenue targets, but the quiet profit leak usually sits in unrecorded overhead, missed supplier credits, or receipts drifting between gloveboxes and email folders.

When paperwork lags, you end up making operating decisions based on bank balances rather than true margin. Catching up on reconciliations every single week protects your cash flow before winter arrives.

How often does your team sit down to review vendor balances before the month closes?

Clean books beat guesswork every single time.

Catching a billing discrepancy or a missed supplier discount in real time protects your operating margin before the quarter wraps up. Waiting until tax prep forces you to untangle months of transactions all at once, which usually means paying more and making business decisions based on old numbers.

Clear records keep your cash flow predictable so you can plan payroll and major purchases with confidence.

How often does your team review reconciliations, or do you leave most of it for year end?

Ever notice how much smoother business feels when your numbers just make sense?

I was chatting with a client last week who said that having clear, up-to-date financials finally gave them the confidence to make some big decisions for the fall. It’s funny how something as simple as an organized report can take a weight off your mind and help you focus on where you want your business to go next.

If you’ve ever wished your bookkeeping worked more like a conversation than a chore, I’d love to hear what would make your financial life easier. What’s one thing you wish your bookkeeper understood about your business?

I was talking to a business owner last week who admitted she hadn't really opened her books since June.

Her words: 'I was scared of what I'd find.'

Turns out things weren't as bad as she thought. But she'd been guessing for months about which of her services actually made her money.

Here's what I keep telling owners right now. There are just over three months left before December 31. That's enough time to clean things up, see what's really working, and make a few smart moves before the year closes. It's also enough time for small messes to turn into expensive ones.

Clean books now, easier tax season later. It really is that simple.

So be honest with me. When did you last give your books a real, thorough look? Drop your answer in the comments. No judgment, promise.
