VAT problems usually come from “almost right” processes repeated for months.

Three preventables:
• Not reconciling VAT monthly (even if you file quarterly)
• Inconsistent treatment for mixed or unusual items
• Items parked in holding accounts with no owner
You don’t need complexity. You need consistency and a short rules list for your business.

If you want me to review your VAT process and point out the obvious risk areas, book a free call, the link is in my bio.

If your finance reporting is basically “green / amber / red”, you’re guessing. ❌🟠✅

A useful update for World Emoji Day: replace vague status with three lines of plain English:

• What changed (sales, margin, overhead, cash)
• Why it changed (the driver, not the noise)
• What we’re doing next (3 actions, owned, dated)
Your team doesn’t need more numbers. They need clearer decisions.

If you want me to turn your monthly pack into something your leadership team can actually use, book a free call:

Hiring fixes capacity. It can also squeeze profit if you don’t track the right things.

When headcount grows, watch for:
• Payroll rising before productivity catches up
• Extra overheads (tools, kit, licences, training)
• More management time (less billable/sellable time)
One practical move: track one output measure alongside payroll (revenue per head, gross profit per team, utilisation, jobs completed). Keep it consistent.

Overheads rarely explode. They creep.

A simple monthly control: review your top 10 overhead lines and ask:
• Do we still need it?
• Is it being used properly?
• Who owns it?
The goal isn’t cutting for the sake of it. It’s being intentional so profit doesn’t get diluted as you grow.

Most profit leaks aren’t big. They’re “small extras” that never get billed.

If you sell projects or retainers, tighten three things:
• What’s included (in plain English)
• What counts as a change (examples, not vague wording)
• Who approves changes before the work happens
You can be great at delivery and still lose money if scope is loose.

Cashflow doesn’t improve because you “try harder”. It improves because you collect on time.

A debtor rhythm that works without drama:
• Invoice the same day delivery is complete
• Confirm the payment date in writing
• Chase weekly, same day/time, owned by one person
Consistency keeps it professional. It also protects relationships because it is a process.

If you want a debtor workflow you can hand to a team member and trust, book a free call:

Good bookkeeping isn’t something your admin assistant can do. Sure, they can chase the paperwork but good bookkeeping means numbers you can make decisions from.

In practice, that means:
• Bank reconciled weekly (so cash isn’t a mystery)
• Clear coding rules (so reporting isn’t random)
• A month-end close that happens on a date, not “when we get time”

If your figures arrive late, you end up managing on instinct. That gets expensive once the team grows.

Turnover can go up while profit goes down.

Three reasons it happens in growing businesses:
• You sell more low-margin work (or discount more often)
• Delivery costs rise and prices don’t move with them
• Overheads creep in small monthly chunks

A simple check: compare gross margin % this month vs the same month last year. If it’s down, you don’t have a sales problem. You have a margin problem.

If you want me to look at your last few months and show you where margin is slipping (and what I’d fix first), book a free call:

Most business owners don’t need more reports. They need a small set of numbers they actually use.

I’ve published a new blog: A Simple KPI Dashboard for Limited Company Owners: The 8 Metrics That Drive Profit.

It’s built for real operators:

• A handful of metrics that show performance and cash movement
• A simple way to spot margin drift early
• A cadence that turns numbers into decisions (not screenshots)
• If you’ve got 5+ staff, “gut feel” stops scaling. You need signals you can trust.

A clean month-end is a competitive advantage. It lets you act first.

Before June closes, make sure:
• All sales invoices are raised (and matched to delivery)
• Bank is reconciled and debtors are up to date
• Any unusual transactions are explained, not parked
• InYour future self doesn’t need more detail. It needs fewer loose ends.

If you want a month-end close process your team can run without you chasing, book some time in the diary with me here:
