"What can I actually put through the business?"

Probably the question I'm asked most often, and usually a bit sheepishly — as though there's a secret list somebody forgot to hand over.

There isn't. The test is whether the cost is wholly and exclusively for the trade. That's the whole rule.

What's more interesting is the pattern in what people get wrong.

Things people assume they can't claim through their company, and can: use of home when you genuinely work from home, professional subscriptions, the staff Christmas party (up to £150 a head, completely tax-free, not just deductible), eye tests and glasses needed for screen use.

Things people do claim, and shouldn't: clothing that isn't a uniform, parking fines and speeding tickets — even when they happen on a genuine business trip.

The second list is the expensive one, because it survives right up until somebody looks.

Software will replace a chunk of what accountants do, and honestly it should.

If your accountant's main contribution is typing your bank statement into a ledger and filing the result, that job has been in trouble for a decade. Bank feeds, receipt capture, automatic categorisation — that work is going, and defending it isn't a strategy.

What software can't do is tell you it's the wrong question.

A client rang me last month, weighing up a new double cab pickup for the business. His current one is taxed as a van — strong capital allowances, and if he ever drives it privately, a flat, modest benefit-in-kind charge (the tax on personal use of a company vehicle).

He assumed the replacement would work the same way. It won't. Since April 2025, HMRC treats most double cab pickups as cars rather than vans, for both capital allowances and benefit-in-kind. Same vehicle, same use — but the benefit-in-kind is now based on list price and CO2 instead of a flat charge, which for anyone using it privately can be several times the old figure.

Nothing about the vehicle changed. The rules did.

Xero will record the purchase however it's classified, and never once question the assumption behind it. That's a conversation worth having before he signs, not after.

So yes — if you're paying someone to do data entry, the software is coming for that, and you should welcome it. Just be clear that's what you're paying for.

Nobody has ever rung me in January wishing they'd left it later.

File in September and you'll know the number in September. Four months to put it aside.

File in January and you'll know the number three weeks before you have to pay it.

The tax is due 31 January either way. Filing early doesn't cost you a single day of cashflow. It just moves the surprise to a month where you can do something about it.

Honestly the question we're asked most, usually by someone who's been quietly worrying about it for months.

The registration deadline for the year to April 2026 is 5 October. If you started a side business, went self-employed, or began renting somewhere out during that year — that date is yours.

It's a five-minute conversation and it costs nothing. Considerably cheaper than the penalty for finding out late.

If you take dividends from your own company, your tax bill went up in April and you may not have felt it yet.

Basic rate: 8.75% to 10.75%
Higher rate: 33.75% to 35.75%
Additional rate: unchanged at 39.35%

On £30,000 of dividends, that's roughly £590 more than last year. You won't see it until the January return.

The rule of thumb — small salary, everything else in dividends — isn't automatically the right answer any more. For some it still is. For others it's flipped.

Worth twenty minutes before it's locked in for another year.

Tomorrow is the first Making Tax Digital quarterly deadline.

If you're a sole trader or landlord with gross income over £50,000, your update for 6 April to 5 July is due by Friday 7 August.

It's a summary, not a tax return. Filing something sensible on time beats filing something perfect on Saturday.

Not "we moved away from them" — never had them. I'd seen enough of how they work before I started, and I didn't want to build a practice around one.

The problem with billing by the hour isn't the admin. It's what it does to the conversation.

If the clock is running, people think twice before ringing. And the calls they don't make are almost always the ones that would have saved them money. Nobody picks up the phone to ask whether a purchase is better made before or after the year end when they think it'll cost £45 to ask.

So the advice arrives after the decision, when it's tidying up rather than advice.

A fixed fee fixes that. You know what the year costs, I know what I'm doing, and the phone call is free at the point of use.

It isn't right for everything — some work genuinely can't be priced up front, and I'll say so when that's the case. But if what you want is an accountant you'll actually talk to, the hourly clock is the thing in the way.

You might be owed money you haven't claimed.

The mileage rate for cars and vans went up from 45p to 55p for the first 10,000 business miles — the first increase since 2011.

And it's backdated to 6 April.

If you're self-employed and claiming mileage, your figure for this year is bigger than you think. If you employ people and reimburse them, you can top up the difference tax-free.

Worth ten minutes with the mileage log.
