There’s outsourcing something… and then there’s actually getting it off your plate.

Because if you outsource your bookkeeping but you’re still spending every quarter chasing invoices, pulling together lists, finding missing bits and trying to work out what’s needed… has it really made your life any easier?

8 years of Todd 🥹💙

Today marks 8 years since Todd joined Ookkee.

Todd was one of our very first employees. He came to us pretty much straight from school, started his career with us, qualified with us, grew with us… and somewhere along the way became the person who now helps keep the whole thing running 😂

Today, Todd is our Practice Manager, but that title doesn't really tell you everything he does.

Behind the scenes, he is an absolute godsend. He keeps the team moving, knows what’s going on approximately 400 times before the rest of us do, solves problems, keeps things organised and is very often the calm amongst the chaos.

He’s seen Ookkee grow and change enormously over those eight years and he’s grown right alongside it.

There’s something incredibly special about watching someone start their career with you and seeing them develop into such an important part of the business and the team.

Todd, thank you for the last 8 years, for everything you do that people see and probably even more for everything they don’t.

We are incredibly lucky to have you.

Happy 8 years, Todd! 🥂

Money and mental health are more closely connected than we sometimes like to admit.

For a business owner, financial pressure isn’t something that neatly stays inside the working day.

Cash flow. Payroll. Tax bills. Making the right decisions. Not knowing exactly where you stand.

It can all take up a LOT of headspace.

So we’re really pleased that our Commercial Director, Jade Binsted, will be speaking at the Mental Health and Small Business Conference in Andover on Monday 12th October.

The best VAT process is not a panic in the final few days. It is clean bookkeeping throughout the period, clear records and proper checks before submission.

That is the difference between “filed” and “done properly”.

Behind the scenes there should be checks, reconciliations, sense-checking, reviewing transactions and making sure the figures actually make sense before anything is submitted.

Sometimes the best client feedback comes in the messages that were never intended to be testimonials 😂

“I am very impressed at how fast you have been producing the reports this month dude!”

This little message came from Clare at Kanesbury Care about the payroll reporting across the care home group and we loved it.

Because when you outsource something as important as payroll, you don’t want to be chasing for information or wondering when you’re going to get what you need.

You want it done. You want it right. And ideally, you want it before you’ve even had a chance to chase for it.

For a care group with multiple homes and lots of people relying on payroll being processed properly, having that speed and reliability behind the scenes really matters.

It’s another example of what we mean when we talk about actually taking something off your plate.

You shouldn’t have to manage the people you’ve outsourced to.

They should make your life easier.

And apparently, occasionally earn themselves a “dude” in the process 😂👏

It can include bookkeeping, payroll, VAT, CIS, credit control, supplier queries, reporting, systems and working with your accountant so nothing sits in a silo.

You do not need to become an accountant to run a financially confident business.

But you should understand three things:

1. Profit and Loss: are you making money?
2. Balance Sheet: what does the business own and owe?
3. Cashflow: what money is moving in and out?

When these reports are kept up to date, they become decision-making tools rather than scary documents.

The deadline itself is simple. The work behind it is where things can go wobbly: payroll accuracy, CIS deductions, employee changes, starters, leavers and cashflow planning.

A strong finance process means deadlines do not become last-minute stress... that's where we come in!
