It's surprisingly easy for a business to become busier while its margins quietly shrink.

Costs increase.

Jobs take longer.

Discounts creep in.

Prices haven't been reviewed for two years.

Small expenses gradually become bigger expenses.

And because you're so busy actually doing the work, nobody stops to look at the numbers.

That's why regular financial visibility is so important.

Sometimes the most valuable question you can ask isn't:

It's probably one of the most common questions accountants hear. 😄

**“Can I put this through the business?”**

And unfortunately, the answer isn't always a simple yes or no.

Business expenses generally need to meet HMRC's rules, and whether something is allowable can depend on **what you've purchased, why you've purchased it and how it's being used**.

Something that is perfectly legitimate for one business might not be allowable for another.

That's why relying on what your mate, someone on Facebook or another business owner told you can sometimes be an expensive mistake.

And the opposite problem happens too.

Some business owners are so worried about getting things wrong that they **don't claim legitimate expenses they're actually entitled to claim**.

Neither approach is ideal.

Our advice?

**Ask.**

A quick question now is far better than discovering later that you've claimed something incorrectly — or unnecessarily paid more tax because you didn't claim something you legitimately could.

Technically, you can.

Financially, however, it's rarely a great strategy.

One of the easiest ways to remove stress from running a business is to remember that **not every pound sitting in your bank account belongs to you**.

Depending on your circumstances, some of it may ultimately be needed for VAT, Income Tax, Corporation Tax or other liabilities.

Spending first and worrying about the tax later can create a nasty shock when payment time arrives.

A better habit?

👉 Understand roughly what you're likely to owe.

👉 Put money aside regularly.

👉 Keep your bookkeeping current.

👉 Know when your major payments are coming.

Suddenly, the tax bill isn't a terrifying surprise.

It's simply a planned business expense.

A business can be incredibly busy, generate impressive sales and still struggle financially.

Why?

Because **turnover isn't the same as profit — and profit isn't the same as cash in the bank.**

Imagine your business invoices £20,000 this month.

Sounds great.

But then there are materials, wages, subcontractors, software, insurance, vehicles, VAT, tax and all the other costs involved in actually generating that £20,000.
