Every business has busy periods, quieter weeks and times when things feel like they need to slow down.

But payroll has to keep moving.

Employees still need to be paid, HMRC still needs the correct information, pension duties still need to be reviewed, and records still need to stay up to date.

Even when there are no major changes, payroll still needs attention.

A regular salary, standard tax code, usual pension deduction or monthly submission still needs to be processed correctly and on time.

Payroll can usually only pause when there is genuinely nothing to process no employees to pay, no deductions, no statutory payments, no pensions and nothing to report.

For most employers, payroll is about continuity.

A smooth payroll starts before payroll day.

To help everything run correctly and on time, we ask clients to send payroll information 5 working days before pay day.

This includes:
- hours
- overtime
- changes to pay
- sickness or holiday
- new starters
- leavers
- any other payroll updates

Ideally, everything should be sent together in one email.

Why? Because tracking down separate emails, missing starter details, late leaver information or last-minute changes can slow the process down and increase the risk of errors.

Payroll deadlines are there to protect everyone employers, employees and the payroll process.

📄 P45 or P60?

This is something that comes up more than you’d think.

They sound similar, they both relate to pay and tax, and it is easy to mix them up but they are used for different reasons.

A P45 is issued when an employee leaves a job. It shows their pay and tax details up to their leaving date and is usually needed by their next employer.

A P60 is issued after the end of the tax year. It shows an employee’s total pay and tax for that tax year, but only if they were still employed by that employer on 5 April.

So, if an employee has already left and been issued a P45, they would not usually receive a P60 from that employer for the same tax year.

The simple way to remember it is:

Leaving employment?
You usually need a P45.

Still employed at tax year-end?
You usually receive a P60.
