📁 Keep Your Self-Assessment Records!

Submitting your Self-Assessment tax return isn’t the end of the process. It’s important to keep the records and documents used to prepare your return, as HMRC may ask to review them.

Records can be kept digitally, on paper or using accounting software, as long as they’re accurate, complete and accessible.

For personal tax returns, records should generally be kept for at least 22 months after the end of the relevant tax year. Self-employed individuals have longer retention requirements, generally at least 5 years after the 31 January filing deadline.

📌 Keep supporting documents such as P60s, P45s, expense records, pension and investment statements, rental income records and evidence for any tax reliefs claimed.

Good record keeping can help you stay compliant and avoid potential HMRC penalties.

Staying on top of your payroll reporting is essential! 📋

Remember, a Full Payment Submission (FPS) must be sent to HMRC on or before every payday. It should include all employees, even if they earn below the National Insurance threshold, and report pay, tax, National Insurance and any deductions accurately.

💡 Is your business using the right VAT scheme?

As your business grows, the VAT scheme that once worked for you may no longer be the best fit.

Small businesses have three main VAT schemes to consider:
✅ Flat Rate Scheme – Simplifies VAT calculations with a fixed percentage.
✅ Annual Accounting Scheme – Submit just one VAT return a year instead of four.
✅ Cash Accounting Scheme – Pay VAT only when your customers pay you, helping improve cash flow.

💼 Self-employed? Make sure you're claiming the business expenses you're entitled to.

Allowable expenses can reduce your taxable profit and help lower your Income Tax bill. These may include office costs, travel, business insurance, marketing, staff costs and, if you work from home, a proportion of your household bills.

Remember:
✔️ Only claim the business element of mixed-use expenses.
✔️ If you claim the £1,000 trading allowance, you can't also claim business expenses.
✔️ Good record-keeping helps you maximise your tax relief and makes completing your tax return much easier.

July Tax Diary...

1st July 2026 – Due date for corporation tax due for the year ended 30th September 2025.

6th July 2026 – Complete and submit forms P11D return of benefits and expenses and P11D(b) return of Class 1A NICs for 2025-26.

19th July 2026 – Pay Class 1A NICs for 2025-26 (by the 22nd July 2026 if paid electronically).

19th July 2026 – PAYE and NIC deductions due for month ended 5th July 2026. (If you pay your tax electronically the due date is 22 July 2026).

19th July 2026 – Filing deadline for the CIS300 monthly return for the month ended 5th July 2026.

19th July 2026 – CIS tax deducted for the month ended 5th July 2026 is payable by today.

Employee travel expenses...

Employers generally do not need to report reimbursed business travel and subsistence expenses where an HMRC exemption applies.

This includes qualifying costs such as:
• Business travel
• Meals while travelling
• Parking, tolls and congestion charges
• Business phone calls

HMRC benchmark scale rates can be used instead of reimbursing actual costs, or employers can apply for an approved bespoke rate.

If employees are reimbursed more than the actual cost of business travel, the excess must be treated as earnings and is subject to PAYE and National Insurance.

It's also worth remembering that travel between home and a permanent workplace is usually not tax-deductible, although some travel exemptions do apply.
