📌 First things first — you can only charge VAT if you’re VAT registered.

If you're not, don't go sticking VAT on your invoices. That’s a fast track to trouble with HMRC.

Once you are VAT registered, here’s how it works:

You charge VAT on top of your price

Say you charge £1,000 for your service.

With VAT (currently 20%), your invoice total becomes:

👉 £1,000 + £200 VAT = £1,200 total

That extra £200? It’s not yours. You’re collecting it on behalf of HMRC — so make sure you don’t spend it.

Your invoice must show:

✅ Your business name and VAT number

✅ A breakdown of what you're selling

✅ The VAT rate (e.g. 20%)

✅ The total amount of VAT charged

✅ The grand total (including VAT)

This is what makes the invoice VAT compliant — so your clients (especially other VAT registered businesses) can reclaim the VAT on their end.

🔄 Got clients outside the UK?

It gets spicy. Some services might be zero-rated or outside the scope of UK VAT.

This is where you’ll want expert advice to avoid mischarging — and HMRC penalties.

📥 Still confused or not sure if you're charging VAT correctly?

We help clients set this up properly from day one — including invoice templates, the right software, and what to do with that money when it hits your account.

Schedule a free consultation today and we'll help get your money matters in order.

Let’s talk about what manual bookkeeping actually costs you 👇

If you’re still juggling spreadsheets, manually tracking expenses, or “winging it” when it comes to your numbers, you’re likely leaving serious money on the table.

Here’s how:

🚫 Missed tax deductions because you forgot the receipts.

🚫 Chasing invoices late because there’s no automation.

🚫 Zero visibility over cash flow — so you’re spending blind.

🚫 Avoiding your finances completely because it feels too messy.

Meanwhile, our clients who use accountancy software like QuickBooks, Xero, or FreeAgent?

✔️ Know exactly where their money’s going

✔️ Claim everything they’re entitled to

✔️ Save hours every month

✔️ Avoid nasty surprises when doing their taxes

✔️ Have the confidence to grow, hire, and reinvest smartly

💡 Not sure where to start or which platform to choose?
We help clients set this up from scratch and teach them how to actually use it.

Accounting Fundamentals Every Business Owner Needs to Know

Running a business means wearing many hats, but understanding your numbers is non-negotiable. Here are the accounting basics you need to master to keep your business on track:

1️⃣ Know Your Key Financial Statements
Profit & Loss Statement (P&L): Tracks your income and expenses to show whether your business is profitable.
Balance Sheet: Provides a snapshot of your financial health by showing assets, liabilities, and equity.
Cash Flow Statement: Tracks the movement of money in and out of your business, helping you avoid cash flow issues.

2️⃣ Separate Business and Personal Finances
Keep your accounts separate! Open a dedicated business bank account to simplify tracking and ensure clean records for taxes.

3️⃣ Understand Tax Deadlines
Don’t miss critical dates like VAT returns, corporation tax payments, or Self Assessment deadlines. Late filings can result in penalties and added stress.

4️⃣ Track Your Expenses
Every pound matters! Regularly track your expenses to ensure you’re claiming all allowable deductions and managing your cash flow effectively.

5️⃣ Learn Basic Bookkeeping
Record all transactions: income, expenses, and payments.
Use software like QuickBooks, Xero, or FreeAgent to make bookkeeping easier and less time-consuming.

6️⃣ Cash Flow is King
A profitable business can still fail if it runs out of cash. Regularly review your cash flow to ensure you have enough to cover your expenses, pay staff, and invest in growth.

7️⃣ Understand Your Break-Even Point
Know how much you need to sell or bill just to cover your costs. Anything above this is profit—it’s a critical number for pricing and planning.

💡 Why It Matters:

Strong accounting skills let you make better decisions, spot growth opportunities, and avoid financial disasters.

🎯 Can’t afford your self-assessment tax bill? Don’t bury your head in the sand—here’s what you need to do:

1️⃣ Speak to HMRC ASAP:
Set up a Time to Pay Arrangement to spread the cost into manageable monthly payments.

2️⃣ Double-Check Your Return:
Make sure you’ve claimed all possible expenses and reliefs that could reduce your bill.

3️⃣ Prioritise & Plan:
Reassess your cash flow and budget to find funds without overstretching yourself.

If you miss the 31 January deadline, interest and penalties will start stacking up, so the sooner you act, the better.

Not doing this one thing is the #1 reason businesses get struck off and closed down 🚨

Filing your Confirmation Statement isn’t just another admin task—it’s a legal requirement for all UK companies. Here’s why it’s so important:

What is a Confirmation Statement?

It’s a simple annual update you file with Companies House to confirm your company details are accurate.

This includes:

Registered address 📍
Directors and shareholders 👥
Share capital and SIC codes
It’s essentially a way of saying, “Hey, my company is still active and here’s what’s changed (or hasn’t) in the past year.”

If you don’t file your Confirmation Statement on time:

Your company risks being struck off the Companies House register.

Any remaining company assets could become Crown property (yep, you lose them).

You could face legal and financial consequences for non-compliance.

Your Confirmation Statement is due annually and must be filed within 14 days of your company’s review period ending.

Filing only takes a moment of your day, but forgetting it can cost you your business. Set reminders or let your accountant handle it for you to stay compliant.

Are you up to date with your Confirmation Statement? If not, here's your reminder to check!

Data indicates that approximately 79% of small business owners in the UK report achieving profitability within their first year.

However, the level of profit varies widely, and substantial earnings often develop over time as the business establishes itself.

building a successful business is a marathon, not a sprint. Each small profit is a step toward long-term success. Stay focused on your goals, continue to refine your strategies, and celebrate the progress you make along the way.

Running your own business can feel pretty isolating sometimes, can’t it?

You’re juggling everything solo, and it’s easy to get stuck in your own little bubble. And let’s be honest, once you’re in there, it can feel pretty hard to climb back out.

Here are a few ways to make entrepreneurship feel a little less lonely and help you reconnect:

☕ Head to a coffee shop or coworking space – A change of scenery (and a good flat white) can do wonders for your mindset. You may even meet like-minded people and get the chance to network while you're there.

🤝 Join a mastermind or Network group and surround yourself with other entrepreneurs who get it. Look for groups in a similar industry or with shared interests, so you can bounce ideas around, swap advice, and feel supported.

✅ Find an accountability partner (or a ‘business bestie,’ if you will) – This could be someone who understands the ups and downs of running a business and can keep you motivated. Family might be supportive, but they don’t always get the pressures of entrepreneurship. Having someone who truly understands makes everything feel less overwhelming.

Remember, you’re not in this alone, even if it feels like it sometimes. Take those small steps to connect with others, and you’ll be surprised how much lighter and more inspired you’ll feel. 💬

What’s your favourite way to stay connected? Let me know below—I’d love to hear!
