Raise your hand if you started a spreadsheet for your business in April and haven’t touched it since May 🙋

You had colour coding. You had columns for everything. Then a busy week turned into a busy month, and now it’s just sitting there in your files. Abandoned.

That’s not you being lazy or disorganised. It’s you running a business, and the spreadsheet losing out to the stuff that actually pays.

This is where I come in. We get everything into Xero or FreeAgent, I keep an eye on it each month, and you get a proper profit figure and an idea of what to put aside for tax. You just grab me the bits I ask for, I do the rest.

No starting again next April with a new colour scheme. It’s just done. Keeping on top of things as we go, instead of putting everything together in a panic at tax return time.

Had a lovely session with Treehouse Tribe Networking today, where the brilliant Claire Shaw | Booked4Shaw talked us through holiday planning and bucket lists.

Claire clearly practises what she preaches. Vegas vow renewals, helicopter rides, camping with elephants 🐘 the lot. Meanwhile my most adventurous plan this year was attempting a supermarket shop with the twins 🫠

So often the fun stuff gets pushed to “one day” when you’re running a business around family. One day we’ll go away. One day I’ll take a proper week off.

So here’s my bookkeeper bit. Most bank accounts let you set up savings “pots” now. You should already have one for tax (you do have a tax pot... right? 😬). So why not set one up for the fun stuff too? Even a small amount each month adds up, and it turns “one day” into an actual plan. Name it after your bucket list goal and you’re far less likely to raid it.

Money’s come in. Money’s gone out. The bank balance looks alright-ish, but you couldn’t tell anyone what you actually made, what you’ll owe in tax, or whether that busy month was really a good one.

I think a lot of people imagine signing up with an accountant is going to be a big formal ordeal. Stuffy office, a stack of forms, and that awkward feeling you’re being judged before you’ve even started.

It’s honestly not like that with me.

Here’s what actually happens:

☕ We have a chat first. No pressure, just working out what you need.

📝 I send over a proposal, and if you’re happy, a letter of engagement you can sign on your phone.

💳 If you’re on a monthly package, a direct debit gets set up, so paying me is one less thing to remember.

📋 A quick form so I’ve got all your details, plus the ID checks I have to do. All online.

Then I take it from there. I’ll set you up on Xero or FreeAgent, or you just invite me in if you’ve already got it. And we’ll come up with a system. My aim is to get the information I need without leaving you feeling like I’m constantly harassing you 😅

If you’ve had an accountant before, I’ll get in touch with them for anything I need. And I sort the HMRC side so I can deal with them for you.

That’s it. No office, no travel, no being bombarded with emails.

Two very excited little boys. One mum who’s been an emotional wreck all weekend.

Today the twins finally started nursery.

For the last 18 months, I’ve been running my practice in nap times, evenings, weekends, and the odd 20 minutes when they keep each other entertained. We’ve muddled our way through, but there are only so many clients you can realistically take on with so little structured time.

Now, for the first time, I’ve got proper time to take on new clients, get myself to networking events, and have phone calls without chaos in the background. I took a risk going it alone instead of going back to employment, and now I finally get the chance to grow the business properly. Not just keep it ticking over around nap times.

Nobody tells you it’s possible to be relieved and heartbroken at exactly the same time. I wanted this. I planned for this. I still walked out feeling like I’d left a limb behind.

Your bookkeeper has set you up on some shiny new software and asked you to forward your invoices to a special email address. But finding that address is a bit of a faff, so you decide you’ll sort it later.

But later never comes.

If you use Hubdoc, Xero’s data extraction, Dext or Apron, here’s the tip:

Save that forwarding address as a contact in your phone or email, and give it a name you’ll remember, like “Receipts” or “Bookkeeping inbox.” Then as soon as an invoice lands, hit forward, start typing “Receipts”, and it’s done.

Bonus points if you set up an email rule to auto-forward invoices from your regular suppliers. Then you don’t even have to think about it.

Fewer invoices go missing, nothing sits in your inbox for months, and there’s less nagging from your bookkeeper 😅

One month until the next MTD quarterly update is due. How are we feeling? 😅

If you smashed the first one no bother, well done you. Gold star 🌟

But a hell of a lot of people didn’t submit. Tech issues? Not sure what you were actually meant to be doing? Quietly hoping it would all go away? No judgement, honestly.

Here’s the thing though. This tax year there are no penalty points for late quarterly updates, but that soft landing ends in April. From then on, every missed deadline is a point. So now’s the time to get into the habit, not next spring when it actually costs you. And if you missed the first one, your next update covers it anyway, so you’re not starting from scratch.

So here are 3 ways I can help:

1️⃣ MTD Power Hour. We have a chat, go through exactly what you need to be doing, and get you set up to go it alone.

2️⃣ You do the data entry, I check it’s all right and submit the update for you.

3️⃣ I handle the lot. You send me your invoices and receipts, and carry on with your day knowing it’s sorted.
