If your finance reporting is basically 🟢 / 🟠 / 🔴, you’re probably relying on assumptions more than insight.

A fitting thought for World Emoji Day: replace vague status updates with three simple lines of plain English:

• What changed? (sales, margin, overheads, cash)
• Why did it change? (the real driver, not the noise)
• What are we doing next? (three actions, with owners and deadlines)

Most leadership teams don’t need more numbers.

They need clearer explanations, better decisions, and accountability for what happens next.

Good reporting shouldn’t just describe performance. It should help drive it.

If you'd like me to help turn your monthly reporting pack into something your leadership team will actually use, book a free call.

Hiring solves capacity problems. But if you’re not tracking the right numbers, it can quietly squeeze profit.

As your team grows, keep an eye on:

• Payroll increasing before productivity catches up
• Additional overheads (software, equipment, licences, training)
• More management time and less billable or sellable time

One practical habit: track a key output metric alongside payroll.

That could be:
• Revenue per employee
• Gross profit per team
• Utilisation rate
• Jobs completed

The specific metric matters less than measuring it consistently. The goal is to understand whether increased people costs are translating into increased output and profitability.

Overheads rarely explode overnight. They creep up over time.

One simple monthly habit can make a big difference: review your top 10 overhead costs and ask yourself:

• Do we still need this?
• Is it being used effectively?
• Who is accountable for it?

The objective isn’t cost-cutting for the sake of it. It’s making deliberate decisions so your profit doesn’t get diluted as the business grows.

Small, consistent reviews often uncover subscriptions, services, and expenses that no longer deliver value.

If you'd like me to carry out an overhead review and show you where I’d start asking questions, book a free call today.

Most profit leaks aren’t big.

They’re the small extras that never make it onto an invoice.

If you sell projects or work on retainers, tighten up these three areas:

• Define exactly what’s included — in plain English
• Be clear about what counts as a change request — with examples, not vague wording
• Make sure someone approves changes before the work starts

Scope creep rarely arrives as a major issue.

It shows up in extra meetings, additional revisions, quick requests, and “while you’re at it” tasks that gradually eat away at your margin.

You can be excellent at delivering for clients and still lose money if your scope isn’t clearly defined.

Cash flow doesn’t improve because you “try harder.”

It improves because you get paid on time.

A debtor process that works without creating friction looks like this:

• Invoice on the same day the work is delivered
• Confirm the payment date in writing
• Follow up weekly, on the same day and at the same time, with one person responsible

The key is consistency.

When collections are handled as a defined process rather than an emotional conversation, they become more professional and far more effective.

It also protects client relationships because expectations are clear from the start.

Most overdue invoices aren’t caused by difficult customers. They’re caused by inconsistent follow-up.

If you want a debtor workflow that can be handed to a team member and run without constant oversight, book a free call.

Good bookkeeping isn’t something you can simply hand to an admin assistant.

They can absolutely help gather paperwork and keep things moving, but decision-grade bookkeeping is about far more than data entry. It’s about producing numbers you can trust when making business decisions.

In practice, that means:

• Bank accounts reconciled weekly, so cash flow is never a mystery
• Consistent coding rules, so reports are accurate and meaningful
• A month-end close that happens on schedule, not “when there’s time”

When financial information arrives late, you end up managing the business on instinct rather than evidence.

That might work for a while, but as your team grows, the cost of poor visibility grows with it.

If you want reliable, decision-ready financials without creating more work for yourself, book a free call.

📈 More sales don't always mean more profit.

One of the most frustrating conversations I have with business owners goes something like this:

"We've been busier than ever... so why does it feel like there's less money left at the end of the month?"

Growth can hide problems.

Three common reasons I see:

🔹 Taking on more low-margin work just to keep sales growing
🔹 Costs increasing while prices stay the same
🔹 Small overheads creeping in month after month until they become significant

The result?

Turnover goes up.
Workload goes up.
Stress goes up.

But profit doesn't.

A quick check worth doing today:

Compare your gross margin % with the same month last year.

If it's lower, your challenge may not be sales at all. It could be that your margins are quietly slipping away.

Many business owners focus on increasing revenue when the biggest opportunity is often protecting the profit they're already generating.

💬 Have you ever had a year where sales increased but profits didn't? What do you think caused it?

If you'd like a fresh pair of eyes on your numbers, I'd be happy to review your recent figures and show you where margin may be leaking—and what I'd tackle first.

A different kind of post today.

As accountants and bookkeepers, we spend a lot of time talking to business owners. Not just about numbers, but about life.

Behind every business is a person carrying a lot of responsibility.

The pressure to keep customers happy.
The pressure to pay the bills.
The pressure to keep going, even when you're exhausted.

It feels like the world is getting busier. Costs are rising, expectations are rising, and for many people it feels like they have to work harder than ever just to stand still.

Sometimes we get so focused on keeping our businesses healthy that we forget to check in on ourselves.

So today, no talk of tax returns, bookkeeping or deadlines.

Just a simple question:

❓ How are you really doing?

Not the "I'm fine" answer.
The real answer.

If you're having a great week, tell us what's gone well.

If you're finding things difficult, know that you're not the only one. Running a business can be incredibly rewarding, but it can also feel lonely at times.

Let's use this post as a reminder that behind every business page is a human being doing their best.

We'll start:

This week we're grateful for the clients who trust us with their businesses and for the small wins that often go unnoticed.

Your turn. How are you doing today?
