Most business owners have

But surprisingly few actually use it to understand their business.

I regularly speak to business owners who have had the software for years, yet they are still not fully confident in what the numbers are telling them.

And that is not a criticism. Running a business is already demanding enough.

But when a business owner understands even the basics of their financial position, everything changes.

Conversations become less about reporting the past and more about planning the future.

That is when better decisions start to happen.

So I am curious.

What is the biggest thing you struggle with when using your accounting software?

Drop the number below or add your own.

1️⃣ How to raise invoices properly
2️⃣ How to see if my business is actually profitable
3️⃣ Which reports I should be looking at
4️⃣ If the numbers in the software are correct
5️⃣ How to reconcile transactions properly
6️⃣ Understanding my reports
7️⃣ Struggling for time to learn the software
8️⃣ Something else (tell me in the comments)

Many growing businesses are still relying on manual invoicing and bank transfers.

It works… until it doesn’t.

As your client base grows, so does the hidden admin:
• Chasing late payments
• Reconciling transactions
• Monitoring unpaid invoices
• Updating debtor reports

Payment automation changes the structure of your finance function.

With GoCardless integrated into Xero, payments are collected automatically via Direct Debit, invoices reconcile in real time, and your reporting reflects accurate, live data.

The result?
-More predictable cashflow
-Less admin and smoother month-ends
-Stronger client relationships without payment chasing
-Clearer financial visibility for better decisions

For ambitious businesses building recurring revenue, automated payment collection is not just convenient. It is part of building a finance system that supports growth.

Yesterday I got to meet with a number of brilliant people within the accounting industry. It’s always good to get out and share experiences to better the industry as a whole.

It’s always great to go to the Xero offices and look at the Manchester skyline.

Back to reality today, already working on the ideas that were shared.

Working with overseas clients is becoming more common for Liverpool businesses.
But the structure behind the scenes often feels confusing.
US payments.
Currency conversions.
VAT.
How to pay yourself.
What to record.
What HMRC needs.

So here is the simple truth.

If your company is registered in the UK, your overseas income is still UK income.
It does not matter if your client is in the US, Europe or anywhere else.
The payment belongs to the UK company and it is taxed here under UK corporation tax.
No US tax.
No double tax.
No complex international rules.

What matters is how clean your records are.
Track the amount paid, the currency, the date, the fees, the exchange rate and the platform used.
Stripe, PayPal and Wise often convert currencies automatically, so you need clear statements to match everything at year end.

Next comes paying yourself.
Even if every client you have is overseas, your director income still follows UK rules.
You need a structured salary and dividend plan so you avoid overpaying tax or creating an overdrawn director loan account by accident.
A predictable income pattern keeps everything compliant and removes the stress of not knowing what you can or cannot withdraw.

Then there is VAT.
Many people assume VAT does not matter when working internationally.
In reality, you do not charge VAT to overseas clients, but you can register voluntarily and reclaim VAT on your UK costs.
Software. Equipment. Travel. Subscriptions.
This usually puts money back into the business with no impact on your clients abroad.

And finally, currency conversions.
Foreign income must be recorded correctly.
Note the original currency, the conversion rate and the GBP amount you received after fees.
This prevents messy bookkeeping and inaccurate profit reporting.

International work is easy when the structure is right.
Clear records.
A proper director pay plan.
Accurate conversions.
The right approach to VAT.

If you want clarity on overseas clients, tax or how to structure your income properly, we can help you set everything up so your business stays clean, compliant and stress free.

Cash flow problems rarely appear all at once.

They build slowly through small warning signs that are easy to miss.

Late payments, rising costs or a few quiet months can create pressure if they are not managed early.

Businesses can spot these issues sooner and prevent them before they become serious.

Simple steps, practical checks and things you can put in place now.

Read more about this in our newest blog!

As December gets closer, a lot of business owners start to feel the pressure build. It is easy to slip into survival mode at this time of year and as an accountant, I get it.

Here are four simple shifts that make a real difference:
Look at your numbers before they become a problem
Create a little breathing space
Ask for help early instead of carrying everything alone
Focus on steady progress rather than perfection

Small steps like these make January smoother and help you feel more in control.

Our latest blog goes into more detail.

3 signs your business is ready to grow (even if it doesn’t feel like it)

Growth never feels comfortable. It usually looks like long days, pressure and constant problem solving, not a big breakthrough moment.

If you recognise these signs, you are more ready than you think:

You have a steady rhythm.
Work keeps coming in and your systems mostly run themselves. That consistency is your launchpad.

You keep reacting.
Overflowing emails and constant chaos usually mean one thing. Demand is there. It is time for structure, not slowdown.

Small wins don’t feel like wins anymore.
If keeping up no longer feels enough, you have outgrown your current level.

Growth starts long before you feel confident.
It starts with discomfort and moving anyway.

Let’s turn survival into strategy.
