There's been a lot of enthusiasm about AI in property management since last year.

Here's an uncomfortable version of what's coming:

AI makes operational problems more visible, not invisible.

🔻If your data is fragmented across five systems, AI surfaces that fragmentation faster and more expensively than before.

🔻If your workflows depend on individual knowledge rather than a documented process, AI can't automate what isn't defined.

🔻If your compliance tracking is manual, AI creates audit trails that expose what wasn't being tracked properly.

The agencies that will benefit most from AI in the next two years aren't the ones that adopt it fastest. They're the ones that have the operational foundation worth building AI on top of.

The others will discover their gaps.

The BTR investment story is compelling. The operational reality underneath it is more complicated.

Portfolios are scaling. Investor expectations are rising, like for standardised reporting, portfolio-wide visibility, resident retention metrics that institutional capital can actually trust.

But the operational infrastructure that delivers those outcomes is all of the systems, workflows, and data architecture underneath the portfolio, which is still catching up with the ambition.

Most BTR operators know exactly where their operational gaps are. The ones who've closed them aren't just running better operations. They're having a different conversation with their investors.

The ones who haven't are managing the gap quietly, with workarounds that work at 500 units and start to compound at 1,000.

H1 2026 is done.

Three things the conversations this year told us about where the market actually is:

🔹The RRA didn't just create a compliance task; it accelerated platform decisions that were already underway. Agencies managing compliance manually ran out of road faster than they expected once periodic tenancies became the default.

🔹The BTR investment case is stronger than the operational infrastructure supporting it. The gap between portfolio ambition and operational reality is wider than most operators admit.

🔹The switching conversation has matured. 'Should we switch?' has become 'how does migration work and what does year one look like?' That's a better question to be answering.

H2 starts with a clearer picture of what the market needs. What's the question your business is carrying into the second half?

Genuine question for the letting agents, BTR operators, and property professionals in the feed.

The UK property management software market has more options than it's ever had.

There are platforms for lettings, BTR, maintenance, client accounting, and resident experience. There are integrations, APIs, and a growing layer of AI tools sitting on top of all.

And yet the conversations we have with MDs and operations directors at growing agencies almost always include some version of the same frustration: the technology exists, but the operational reality is still harder than it should be.

Something we kept seeing in the conversations that shaped the BTR Scaling Playbook:

The operators who scaled without the chaos weren't better capitalised or more experienced. They made three decisions before they needed to:

1. They automated lead-to-lease early, so acquisition stopped being a headcount problem as the portfolio grew
2. They built portfolio-wide financial visibility before investors asked for it, so reporting was a system output, not a manual project
3. They chose a tech stack designed for where they were going, not where they were, so new acquisitions didn't require a system rebuild

Every operational failure we mapped in the research traced back to at least one of those foundations being absent.

The operators still managing around the gaps tend to know exactly where they are. Most don't have the language to describe it to their board yet.

What that looks like operationally:
→ Someone manually exporting from one system to import into another
→ Reporting that takes a morning to assemble because the data lives in three places
→ A compliance step that depends on whoever remembered to check
→ A month-end process that requires your finance team to hold the whole picture manually

The cost of fragmentation isn't visible in any single system. It's in the gaps between them.

Propertymark One was 10 days ago.

A few things that came through clearly in every conversation we had on the day:

The RRA deadline, which passed at the end of May, didn't resolve the compliance conversation. It changed it. Agencies that got through the Information Sheet distribution are now asking a harder question: what does ongoing compliance look like when periodic tenancies are the default and every obligation recurs?

The platform conversation has matured. Agencies aren't asking whether to switch anymore. They're asking how migration actually works, what year one looks like, and what the realistic risk of getting it wrong is.

The agencies feeling most confident going into H2 aren't the ones with the biggest teams. They're the ones who built the right infrastructure before the pressure arrived.

Most property management software is built to win the sale.

The design decision that separates enterprise platforms from everything else is whether the architecture was built to handle what happens five years after the sale, not just after the demo.

What that means in practice:
→ Adding a branch shouldn't mean recreating workflows from scratch
→ Compliance changes should be absorbed by the platform, not outsourced to your team
→ Reporting should get easier as the portfolio grows, not harder
→ Client accounting should close cleanly at volume without manual intervention at month-end

If your platform was designed to scale, these aren't features. They're the baseline.
