One of our builders used to keep his receipts in the ute. Fuel dockets in the door pocket next to the travel mug, hardware slips messing up the dashboard under the ITM diary, EFTPOS slips crammed in the glovebox.

Every couple of months he'd tip the lot onto the kitchen table and try to work out which job each one belonged to. Half the time he couldn't remember.

Now he takes a photo of each receipt before he drives off and sends it to us. We code it to the right job and match it to the bank that same week, so by the time he looks at a job's costs, the receipts are already in there.

He buys the same materials from the same places. He just doesn't carry the paperwork around any more.

Bank reconciliation is the check that tells you whether your Xero file matches what's actually in your bank account.

Your bank feed brings transactions into Xero. Reconciling means matching each one to the invoice or bill it belongs to, and coding anything that doesn't have a match yet. When every line is matched and Xero agrees with your bank statement, the books are reconciled.

Until then, your reports are working from incomplete information. A P&L can show a bill as unpaid when it was paid last month, or miss a customer payment that has already landed. Your GST return is built from the same data, so a gap early on carries through to it.

Small gaps are quick to clear while you still remember what the payment was for. Six months on, nobody remembers.

Some of our clients first rang us because their accountant suggested it.

Year-end rolls around and the accountant opens the file to find the information is all there but hard to work with. Bank transactions have sat uncoded for months, and the GST return took a weekend to pull together. The accountant can still do the year-end from that. It just takes longer than it should.

So they mention, politely, that it might be worth having someone keep the books through the year.

For the owner, that's when it clicks. They'd been treating the books as something to catch up on before year-end, when it's a job that needs doing every week.

We work alongside accountants, so the handover is simple. You keep your accountant, and we keep the file current so what they receive is clean. You get to see how the business is tracking while there's still time to do something about it.

A business can be profitable on paper and still run short of cash in the same month.

Profit is income matched against the costs of earning it, whether or not the money has changed hands yet. Cash is what's actually sitting in the bank account right now. A P&L only shows you one of those two numbers.

Say you've just been paid $20,000 for a job. Just under $3,000 of that is GST, and it belongs to Inland Revenue even though it's sitting in your account. Loan repayments come straight out of the bank every month too. A loan repayment pays down debt, and the P&L only counts running costs, so it was never going to show up there.

A big unpaid invoice works the other way. The job's done and it's sitting in your P&L as income earned, but the cash hasn't landed yet, so it can't cover this week's wages or materials.

Profit and cash answer different questions. A business that only tracks one of them gets caught out eventually.

Need someone watching the invoices every week?

One of our clients used to wait about six weeks on average to get paid. His clients paid just fine when they were reminded, the trouble was that nobody had time to chase an invoice before it was too late.

Your P&L tells you more than your GST refund does. We get asked about this a lot.

A GST return only counts what you charged and paid GST on. It says nothing about your wages bill or what you spent on gear outright. A business can get a nice GST refund and still be going backwards, or owe GST and be having a great few months.

The P&L is the number that actually shows how the business is doing, it's a great tool when it's kept current through the year rather than checked once a quarter.

People often ask us what the difference is between a bookkeeper and an accountant. Fair question, and the answer is less about hierarchy than most people assume.

Your accountant handles the year end. Financial statements, the income tax return and advice on how the business should be structured. They work with a finished and completed year in order to help you plan the year ahead for the results you want to achieve.

We work with the year while it’s still happening. Coding transactions as they come through, reconciling the bank, running payroll and payday filing, getting the GST return in, chasing up the invoices nobody has paid. By the time your accountant opens the file, the information is already accurate and they can get on with their part.

That’s why the two roles sit well together. Good bookkeeping through the year usually makes the accountant’s job quicker, and it means you aren’t finding out in May how March went.

One of our clients opens Xero every Monday morning and has a look at the month so far. Takes her about four minutes.

Before we started with her she couldn’t have done that. The information was all there technically, sitting in the bank account and a folder of receipts, but pulling a real answer out of it would have taken half a day she didn’t have. So she went on feel instead. Most months that was close enough, some months it wasn’t.

Now she knows what came in, what’s still owed and roughly what’s left once GST and wages are sorted. Same business, same work. She just has a clear view of it.
