I started Clockwork fully virtual back when people thought that was a strange way to run an accounting firm. No downtown office, no wall of certificates for you to sit and stare at. Just me, my clients, and the work, wherever they happened to be. People thought I was crazy. Here is what I knew. My clients did not need me to have a fancy lobby. They needed me to actually know their business, answer the phone, and be in their corner. Going virtual meant I could do that for a business owner across the state as easily as one across the street. Bookkeeper, accountant, CPA. Most business owners are not sure what the difference is, so they either hire the wrong one or assume one person covers all three. Here is the simple version. A bookkeeper keeps your day to day numbers organized. What came in, what went out, all categorized and up to date. An accountant takes those numbers and helps you understand them, and can handle bigger picture financial work. A CPA is licensed, can represent you in front of the IRS, and give you real tax strategy. They are not the same job, and the mistake is assuming the person keeping your books is also doing your tax planning. Usually they are not. You open your profit and loss, you see a profit, and you feel good. I get it. But your P&L is only half the story, and running your business on it alone is how people get blindsided. The P&L shows you whether you made money over a stretch of time. What it does not show you is what you actually own and what you owe. That is the balance sheet. It is where your cash, your debt, your loan payments, and the money customers still owe you all live. You can have a beautiful P&L and a scary balance sheet at the very same time. That is the exact gap where a profitable business runs out of cash and never sees it coming. If you have only ever looked at your P&L, you have been reading half the book. Every so often there is a program going around promising free government money for your business, and my phone lights up. Let me save you some pain. That money is rarely as free as it sounds. Some of it is a loan you have to pay back. Some of it is a credit you only qualify for under very specific rules. And some of the loudest offers are companies that will happily file you for something you do not qualify for, take their cut, and leave you holding the bill when it gets clawed back. I am not saying every program is bad. Real ones exist and can genuinely help. I am saying read the fine print, and have someone who is not getting paid on commission check whether you actually qualify before you sign anything. A business owner came to me who had been selling for three years and never collected a dime of sales tax. Not because he was hiding anything. He just did not know he was supposed to. Here is the brutal part. When you are supposed to collect sales tax and you did not, the state does not go back to your customers for it. They come to you. So now he owed years of sales tax out of his own pocket, on money he never charged for and never set aside. Plus penalties. If you sell a product, and in some cases a service, you may have a sales tax responsibility, and it can start the moment you cross certain thresholds in a state. Do not assume you are fine because nobody has said anything. Silence is not the same as being in the clear. Save this and send it to someone who sells anything.

For years people have been told that taking the home office deduction is like waving a red flag at the IRS. That myth has cost honest business owners real money they were entitled to. Here is the truth. The home office deduction is completely legitimate when you actually qualify. The rule is that the space has to be used regularly and only for business. Your kitchen table where the kids also eat does not count. The spare room that is your office and nothing else does. If you qualify, take it. Skipping a deduction you earned because you are scared of a myth is just handing money back. Keep good records of the space and the numbers, and it holds up fine. Somebody told you to hurry up and form an LLC to save on taxes. I have to be honest with you. That is not how it works. By default an LLC is taxed exactly the same as if you had no LLC at all. The profit flows straight to you and you pay the same tax on it. What an LLC actually gives you is liability protection, which is real and worth having, but it is a legal shield, not a tax cut. The tax savings people are thinking of usually come from a different move, like electing to be taxed as an S-corp once your profit is high enough to justify it. Forming the LLC is step one. It is not the thing that lowers the bill. If someone sold you an LLC as a tax strategy, DM me the word LLC and I will tell you what actually moves the needle.

If you run your business through Venmo, Zelle, or Cash App and figure the IRS cannot see it, I need to stop you. Money you earn is taxable no matter how it lands in your account. Cash, check, card, or a payment app, it all counts. And the apps are reporting more than they used to. The days of business income being invisible because it came through your phone are over. This is not me telling you to be scared. It is me telling you to keep clean records of what is business and what is your cousin paying you back for dinner, because when those two get mixed together is exactly when it gets messy. Keep the business money separate and track it. Save this if you get paid through an app.

Here is a mistake I see all the time, and it does not show up until years later. Someone pays you and sends a 1099. You forget about it, or you never got your copy, so it never makes it onto your return. Here is the part people miss. The IRS got a copy of that same 1099. Their computers match what was reported about you against what you actually reported, and when it does not line up it can surface two or three years down the road. Now you owe the tax, plus penalties, plus interest that has been quietly stacking the whole time. Report every 1099, even the ones you think slipped through the cracks. And if you think you missed one, it is far cheaper to fix it now than to wait for the letter. DM me the word 1099 if you are not sure yours add up.
