The bigger lesson isn't the tool. It's the architecture behind it.

Think of your AI system like a department:

🏢 System Instructions = the department
"How we do things here."

The defined way a job gets done: your process, judgment, standards, and guardrails.

They provide access to systems and APIs, but access alone does not create good decisions.

This distinction matters because bloated tool schemas can consume roughly 23,000–50,000 tokens of context before your AI even starts reasoning about the task.

Which tasks do you let AI finish end-to-end, and which must always touch a person before anything is sent or filed?

AI agents are moving into real work queues. Atlassian and OpenAI are piloting work items assigned directly to AI agents. And research across 25 organizations found none gave agents unrestricted autonomy.

That's the point: not the hype, but the handoff.

Define the finish line before an agent starts:

• Let it complete bounded, internal, reversible tasks, like organizing a queue or preparing a summary.
• Require human sign-off before external messages are sent, sensitive records are changed or filed, or compliance and financial submissions go out.
• Name the role responsible for review, and make exceptions return to a person, not disappear into the queue.

For healthcare practices and professional services firms, "the agent completed it" is not the same as "the work is approved." Build the approval gate into the workflow, with a clear reviewer and an auditable record of the decision.
