Payroll Security Starts with the Basics

Payroll teams handle some of your business’s most sensitive information, from Social Security numbers and addresses to banking and compensation data. That makes payroll security an ongoing priority, not a one-time task.

In our latest newsletter, we share practical ways small businesses can reduce payroll security risks, including:

• Strengthening access controls and MFA
• Keeping payroll software and devices updated
• Training employees to recognize security threats
• Separating payroll responsibilities
• Protecting both digital and physical records
• Conducting regular security audits
• Evaluating third-party payroll providers carefully

AI can help identify processing issues and suspicious activity, but it’s only one part of a broader security strategy.

When was the last time you reviewed these?
Classifications, overtime rules, new hire paperwork, and tax filings are easy to set-and-forget, until they're not.

If you read through that list and felt even a little unsure, that's usually the sign it's worth a second look. We're happy to help you sort through it.

Minimum wage isn't a January thing anymore.
In 2026, many states changed their minimum wage but not all on the same day. New York, along with most states, made its move back on January 1. Other states updated on July 1st and Florida doesn't move until September 30th.

For employers with remote teams or multi-state operations, that means compliance isn't a once-a-year checkbox, it could be a year-round job.

Proactive payroll helps avoid wage miscalculations.
PayServ can help make sure all your employees are paid the correct wage no matter what state they work in.

Think paper checks are safer? Think again. Direct deposit transfers wages electronically and eliminates many of the risks associated with physical checks.

Reminder: Update your Form I-9!
If you're still using a Form I-9 that shows an expiration date of 07/31/2026 in the top right corner, it's time to swap it out. Starting August 1, 2026, employers must use the version with the 05/31/2027 expiration date.

1-Check the top-right corner of your current form.
2-Download the latest version directly from USCIS.
3-Update your electronic I-9 system or hiring packet before Friday.

Not sure if your onboarding process is up to date?
We're happy to help you double-check.
