I'm all about getting the most bang for your buck, and as a bookkeeper for insurance brokers, here are my top tips:

β†’ Quit using that messy spreadsheet (that you don't even like to use) and switch to a free bookkeeping tool like Wave

β†’ Use Facebook Marketplace to search for affordable home office upgrades

β†’ Open a business credit card with rewards or cash back

β†’ Take advantage of free software trials (and set a reminder to cancel before the trial ends if you don't love it!)

Running your business with intention is KEY in today's economy; you've got to be smart about every dollar.

If you're DIY-ing your bookkeeping as an insurance broker, here are a few things I recommend:

1️⃣ A separate business bank account that is NEVER used for personal expenses.

2️⃣ A place to track your transactions. Bookkeeping software is ideal, but a spreadsheet works too!

3️⃣ A set time each week or month to log in and categorize everything.

4️⃣ A monthly routine to reconcile your accounts once your bank statements drop.

5️⃣ A quick monthly check-in with your reports to keep an eye on how your business is performing.

6️⃣ An automatic transfer to savings for estimated taxes.

I'd be doing my clients a disservice if I didn't tell them things they didn't want to hear, like:

β†’ You need to open up a separate business bank account.

β†’ It doesn't look like you've been saving enough to cover your estimated taxes based on what your tax accountant recommended you pay.

β†’ I see you're taxed as an S corporation, but you aren't paying yourself a reasonable salary via payroll. This needs to get fixed!

These types of things aren't always fun to hear, but they are ESSENTIAL to helping you run the best business you can (which is my end goal!).

You've got two choices when it comes to your accounting method: cash and accrual. πŸ”’

And it's not a choice you should take lightly... the method you choose can have a big impact on how your financial statements look!

So, what's the difference? ‡️

The cash method records income when money actually hits your account and records expenses when you pay them.

This is a great, simple accounting method for most small business owners!

Accrual accounting records your income when you earn it (even if you haven't been paid yet), and records expenses when they've been incurred (even if you haven't paid them yet).

Business owners often choose this method if they're managing inventory and want to match income to the period in which it's earned. You may also be required to use this method depending on the size + nature of your business. πŸ“Š

Okay, I'm not necessarily going to ask ALL these questions for every single meal expense, but I *will* if I'm not clear on how to categorize it!

And if you're a DIY bookkeeper, you should be asking yourself these questions:

β†’ Who attended the meal?
β†’ What was the business purpose of the meal?
β†’ Where did this meal take place? Was it outside of your tax home?
β†’ Do you have an itemized receipt for the meal?
β†’ Was this for a staff event?
β†’ Were there any entertainment costs included in the price of the meal?

All of these questions can help determine the correct categorization and tax deductibility of your meal expenses!

Not every potential client is going to be the PERFECT fit at Digital Debits Bookkeeping, and here's why:

β†’ I might not have any experience in their industry, so I'll help find a bookkeeper who does!

β†’ They’re trying to haggle down my prices. My clients value my years of experience, and in my experience, a cheap bookkeeper is going to cost you MORE in the long run.

β†’ Timeline expectations are off. Months or years of messy bookkeeping aren't fixed in a day! I pride myself in taking the time to get things RIGHT for my clients, and that requires an appropriate amount of time to do so.

β†’ They aren’t willing to separate their business + personal finances. It's totally okay if your expenses are mixed up when you come to me, but I'm going to help you get everything straightened out and separated moving forward!
