Because the businesses I see thriving arenโ€™t always the ones adding the most.

More services.
More software.
More clients.
More offers.
More things to manage.

Often, theyโ€™re doing the opposite.

Theyโ€™re cutting a service that isnโ€™t profitable.

Consolidating three tools into one.

Saying no to a client who isnโ€™t a good fit.

Do you keep categorizing the ๐ฌ๐š๐ฆ๐ž ๐ญ๐ซ๐š๐ง๐ฌ๐š๐œ๐ญ๐ข๐จ๐ง๐ฌ in your QuickBooks bank feed week after week?

You may be doing work that QuickBooks Online can handle for you.

QBOโ€™s ๐๐š๐ง๐ค ๐‘๐ฎ๐ฅ๐ž๐ฌ let you create instructions for predictable transactions.

Go to ๐’๐ž๐ญ๐ญ๐ข๐ง๐ ๐ฌ โ†’ ๐‘๐ฎ๐ฅ๐ž๐ฌ โ†’ ๐๐ž๐ฐ ๐‘๐ฎ๐ฅ๐ž and set the conditions for the transaction. For example, you might create a rule for charges from a vendor you use regularly.

Then tell QBO how those transactions should be categorized.

Five minutes of setup can save you from making the same five-second decision over and over for monthsโ€”or even years.

But donโ€™t feel like you need to create rules for everything.

Start with the ๐ญ๐ก๐ซ๐ž๐ž ๐ญ๐ซ๐š๐ง๐ฌ๐š๐œ๐ญ๐ข๐จ๐ง๐ฌ ๐ฒ๐จ๐ฎ ๐ฌ๐ž๐ž ๐ฆ๐จ๐ฌ๐ญ ๐จ๐Ÿ๐ญ๐ž๐ง.

Just make sure theyโ€™re truly consistent before automating them. A poorly designed rule can create more cleanup than it saves.

The goal isnโ€™t to automate everything.

Thereโ€™s a particular kind of tired that has nothing to do with how hard youโ€™re working.

Not opening the dashboard.
Not checking the account balance before a big purchase.
Not digging into the books because youโ€™re worried about what you might find.

The longer you avoid it, the heavier it feels.

But hereโ€™s something Iโ€™ve seen again and again:

I had one recently that just wouldnโ€™t click.

The numbers were closeโ€”but not quite matching. And after staring at them for too long, I could feel myself starting to force the answer instead of actually finding it.

So I closed the laptop and went for a walk.

No spreadsheet. No screen. Just some space to think about something else.

About 15 minutes in, the answer surfaced on its own:

Iโ€™ve learned to stop fighting this pattern.

Sometimes experience isnโ€™t knowing the answer immediately. Itโ€™s recognizing when youโ€™ve looked at a problem for so long that youโ€™re no longer seeing it clearly.

Step away. Move around. Give your brain something else to do.

The numbers will still be there when you get backโ€”and sometimes, so will the answer.

A reconciliation thatโ€™s almost balanced.
A question that still doesnโ€™t have an answer.
Or, apparently, a crochet project when I tell myself, โ€œJust one more row.โ€ ๐Ÿ˜„

Once Iโ€™m in the middle of something, an unfinished piece nags at me. I want to find the missing piece, tie up the loose end, and get it resolved.

And Iโ€™ve realized that same instinct follows me straight into my clientsโ€™ books.

If an account doesnโ€™t reconcile, I want to know why.

If something looks unusual, I want to understand what happened.

If a financial process is only half-working, I donโ€™t want to simply move it to next monthโ€™s list and hope for the best.

Because those little unresolved items have a way of becoming bigger problems when no one follows the thread.

Maybe thatโ€™s why bookkeeping and crochet make more sense together than youโ€™d think.

Both require patience, attention to patterns, and a willingness to keep working until the pieces come together.

One of the things Iโ€™m learning to appreciate more and more about networking is simply getting to meet other business owners ๐ข๐ง ๐ฉ๐ž๐ซ๐ฌ๐จ๐ง.

Not through an email.
Not through a Zoom screen.
Not through a social media post.

Face to face. ๐Ÿ˜Š

We get to talk about our businesses, hear each otherโ€™s stories, learn what someone else does, and discover the person behind the business card.

And yesโ€ฆ sometimes I even get handed a microphone. ๐ŸŽค

For someone who spends a lot of time working behind the scenes with numbers, these mornings are a great reminder that business is really about people.

The numbers tell me whatโ€™s happening inside a business.

The conversations help me understand the person building it.

That combinationโ€”numbers + peopleโ€”is a big part of why I love what I do.

And every time I walk out of one of these rooms, I know a few more business owners than I did when I walked in. ๐Ÿ’™

Youโ€™ve got receipts from three different job sites, a CPA meeting next week, and no clear picture of where all that money actually went.

Sound familiar?

When youโ€™re busy running the business, tracking every material purchase, expense, and job cost can easily become something youโ€™ll โ€œdeal with later.โ€

But later comes with a cost.

If expenses arenโ€™t assigned to the right jobs, it becomes harder to know which projects are truly profitable, where margins are getting squeezed, and whether your pricing is actually working.

Good bookkeeping should give you more than clean records for your CPA.
