It’s reporting time and you don’t have receipts for last year’s expenses. Now what?

You can still report those deductions on your 990 without receipts for every transaction.

If you do not have a receipt, make sure that you have detailed notes about the transaction. For instance, who you purchased from, the date, the location of the sale, etc.

You can also use your bank statement as proof of purchase.

If you find yourself in the situation of not having last year’s receipts, consider creating a more organized tracking system from here on out so that you don’t run into this problem in the future or better yet, outsource this to us!

When you reach the end of an accounting period, you need to "close the books."

At a minimum, you will close your books annually because you have to file a tax return every year, and you should prepare annual financial statements as well.

Here's a simplified guide for Churches & Ministries:

1. Review all your transactions. Ensure all entries are accurate and categorized correctly.

2. Reconcile all your accounts. Match bank statements with your records for accuracy.

3. Create adjusting entries. Make any necessary adjustments for accruals or prepayments.

4. Generate income statement and balance sheet. Ensure your records are tax-ready. For non-profits, that's a Form 990.

By closing your books on a regular basis (monthly, quarterly, or annually), you can ensure the statements from the previous reports do not affect the current terms, which could produce an inaccurate report on the state of your organizations accounts.

Bookkeepers and accountants often do these steps and use professional accounting software to reduce errors.
