Confirm the customer’s name, billing information, invoice, delivery details, and written approval. For phone or online payments, document exactly what was purchased and when it will be delivered.

A large approved transaction can still become a chargeback later. Clear records protect the business and make any dispute easier to answer.

The goal is not to make payment difficult. It is to make the transaction easy to verify.

Your processing rate is not the same as your total processing cost.

A quick statement check starts with three numbers:

1. Total card sales.
2. Total processing fees.
3. Monthly account and equipment charges.

Divide total fees by total card sales to estimate the effective rate. Then review recurring fees separately so you can see what is coming from transactions and what is being charged every month.

If the statement still does not make sense, that is usually a sign the pricing needs a clearer explanation. Business owners should know what they are paying and why.

A delayed deposit does not always mean the money disappeared.

Before calling your processor, have four things ready: the sale date, the batch total, the batch number, and the bank account that should have received the deposit.

Then check whether the batch closed after the daily cutoff, whether a weekend or holiday affected timing, and whether the processor placed the funds under review.

Step one. Get your current contract and identify cancellation terms and any early termination fee.

Step two. Apply with a new processor before canceling the old one. Get approved and set up first.

Step three. Once the new terminal is tested cancel the old account.

Step four. Monitor your first statement from the new processor to confirm rates match what was agreed.
