HOT TAKE: It should be illegal to have a tax due date fall on a Monday! πŸ™ƒ

If you clocked that quarterly taxes don't always follow a "quarterly" schedule, here's why ↓

Way back in the day, Tax Day used to be March 15th, so Congress counted three months out and set June 15th as the next estimated tax deadline. πŸ“†

But when Tax Day got pushed back to April 15th (not complaining, btw), the June 15th deadline stayed the same.

Soooo, unfortunately, that's why your Q2 estimated taxes are due just two short months after you paid your April ones.

I don't make the rules; I just make sure you don't miss the deadlines! 🀷

Almost every business owner starts by doing their bookkeeping in Google Sheets. It's like a rite of passage at this point. 🀭

Butttt, when your business inevitably grows...

And you're still entering every transaction by hand (but now it takes 4x as long), and you can't do handy things like automatically match your credit card payments; you've outgrown your spreadsheet.

Spreadsheets are sooo good for starting your business, but Quickbooks Online is built to scale. πŸ“ˆ

That migraine comes on the second you remember you still have to invoice your clients, and it's 5pm on a Friday? πŸ€•

I've got a cure (aka an invoicing system intervention).

You've got to find the sticking points in your current invoice workflow. πŸ”

Is it having to re-create an invoice from scratch every time?

Finding out who owes you + how much they owe you?

Waiting until weeks after you did the work to actually send the invoice?

Building a system with a standardized invoice template + a set time each day/week is a start.

In the first 30 days of becoming a Four Pillars Bookkeeping client, we're taking care of:

β†’ Connecting + cleaning up bank and credit card accounts

β†’ Cleaning up your chart of accounts
β†’ Identifying any gaps in your bookkeeping systems
β†’ Fixing any asset + liability balances
β†’ Flagging any tax-related issues for your CPA
β†’ Creating an ongoing monthly workflow

Obviously, you started your business to get paid... but sometimes it's less obvious how to *actually* pay yourself. πŸ’Έ

I get questions all the time from clients on when, how much, and the best methods to pay themselves.

It's not always as simple as transferring some money each month, and getting it wrong can lead to expensive-to-clean-up mistakes!

Want my advice on how *you* specifically should be paying yourself from your business? Message me to set up a quick call! πŸ“²

There are two types of business owners: the ones who find themselves 12 months behind on their bookkeeping, and the ones who implement *these* daily habits and ultimately have clean books.

If you want to be #2 (and who doesn't?!), here's what I recommend:

β†’ Open up a separate business bank account and use it ONLY for business expenses.

I know, it's an oldie but a goodie. This habit keeps your finances sooo much more organized, I can't ever say it enough.

β†’ Whenever you get a receipt, save it in a "Receipts" folder in your email or Google Drive.

Even if it's a physical receipt, getting into the habit of scanning + uploading it the same day is huge.

β†’ If you have a weird transaction or a CPA question, write it down in an email draft. Then, at the end of the month (or year, whatever makes sense), send it!

That way, you don't have to keep all the details of those weird transactions in your already-too-full brain.

HOT TAKE: Data entry is *barely* even a part of my job, automation takes care of most of it for me. πŸ€–

The real work comes in when I review + categorize your weird, one-off transactions (the ones that don't fit perfectly within an auto-categorization rule).

It's when I know that you DoorDashing Panda Express for $14 bucks to your house was probably an accidental personal expense, not a business lunch.

And it's definitely when I catch that you started paying a new contractor last month, but I haven't gotten a signed W-9 on file for them.

Having a real human who understands the nuances of your businesses is sooo valuable, I'm here to help you truly understand the story your numbers are telling you.

You're LYING to yourself (like a lot of other business owners) if you're constantly thinking things like:

β†’ I'll get my bookkeeping set up just as soon as I hit $$$ in sales.

β†’ I don't make enough money to pay myself regularly.

β†’ Once I hit $$$, I'll finally be successful.

These limiting beliefs keep your business in survival mode (not where I want my clients to be πŸ™‚β†”οΈ).

You don't need to keep waiting until *this one magic thing* happens in your business...

But if you've been feeling like you need permission, this post is your sign to start running your business like the business you *want* to have in 5 years.
