This weekend, we want to celebrate all moms — especially the women building businesses, careers, dreams, and families all at the same time. 🤍

This is one of the most common frustrations business owners face. Sales may be increasing, invoices may be going out, and your P&L may even show a profit — but that does not always mean your cash flow is healthy.

Because revenue is not cash flow.

Cash flow can be impacted by things like:

💵 Money you take out of the business as the owner
🏦 Loan payments and business debt
⏳ Invoices that have not been paid yet
📦 Inventory, equipment, or large purchases
📅 Bills, payroll, taxes, and vendor payments coming due
📊 The timing of when money comes in versus when money goes out

A business can look profitable on paper and still feel tight on cash.

That is why understanding your numbers matters. Your reports should help you see more than just what you earned — they should help you understand where the money went, what payments are coming up, and whether your cash flow can support your next steps.

From teachers to administrators, support staff, aides, and coaches—so many individuals pour into our community.

I love turning bookkeeping numbers into plain English.

Because “gross profit margin” can sound technical…

But “how much of every sales dollar is left?” is much easier to understand.

For example, if your gross profit margin is 25%, that means:

👉 If your gross profit is $0.25 per $1.00 of sales, then 25 cents is left after product costs or cost of sales. 💡

And that 25 cents still has to help cover:

Payroll.
Rent.
Software.
Advertising.
Merchant fees.
Insurance.
Taxes.
And hopefully… actual profit. That is the goal after all.

So what’s the “right” percentage?

That depends on your industry, business model, pricing, and benchmarks. A healthy margin for one type of business may not be realistic for another.

And while this is especially important for product-based businesses, some service-based businesses also have a cost of sale — like subcontractors, materials, direct labor, or other costs tied directly to delivering the service.

Not every business uses COGS or cost of sales the same way, which is why your numbers should be reviewed in context.

Sales alone don’t tell the whole story.

The better question is:

How much of each sales dollar is actually left to help run and grow the business?

That’s the kind of clarity good bookkeeping should provide. 📊
