BLUE COLLAR BUSINESS OWNERS

Do you have projects at home that “you’re working on”…. but you’ve been saying that for 4 years?

Yeah, I get it. It’s way easier to put all your hard work and expertise into other people’s projects - especially when you’re getting paid for it!

I’m guilty of neglecting my own bookkeeping from time to time. 🫣

If you’re a blue collar business owner whose own projects look like this - follow along. I’ll be glad to help you clean up the details of your business.

What project that has to do with your job have you been putting off lately? Post in the comments to let others know they’re not alone! (And to trigger the wives about their honey-do lists 🫢)

Blue-collar business owners: your books matter just as much as your tools.

Whether you're a plumber, electrician, landscaper, contractor, HVAC technician, or another skilled tradesperson, your time is best spent serving customers—not sorting receipts after a 10-hour workday.

If you’re running jobs all day, the last thing you want to do at night is sit down and sort through receipts, invoices, and bank transactions. But here’s the reality: being good at the trade is what gets the work. Understanding the numbers is what helps the business stay profitable.

The truth is, staying busy doesn't always mean you're making the profit you should be.

Without accurate bookkeeping, it's hard to know:
✔ Which jobs are making you the most money
✔ Where your cash is really going
✔ If your pricing is keeping up with rising costs
✔ Whether you can afford new equipment or another employee
✔ How much to set aside for taxes
✔ What your Profit & Loss looks like to apply for a business loan

🐝 You build, repair, and serve your customers. I'll help build clarity in your finances so you can spend less time worrying about the numbers and more time growing your business.

🌿It's Time to Review Your Accounting Software Subscriptions 🌿

I recently had a client reach out about the increasing price of her accounting software subscription. The subscription she had been enrolled in was a mid-tier level subscription. Upon evaluation, I found that she could potentially get by with the most basic level subscription for half the price of what she had been paying.

My takeaway was how important it is to take the time at least once a year to evaluate your accounting software. Some of the most important questions you can ask yourself are:
🐝Is it working for me? AKA: Is it saving time, or creating more work?
🐝Are there features I need that aren't available?
🐝Am I using most of the features, or am I paying for a higher subscription level than needed?
🐝Is it easy to use - for me, my bookkeeper, and tax preparer?
🐝Is my financial information secure and backed up?
🐝Can I easily find reports that help me make business decisions?
🐝If I was starting my business today, would I still choose this software?

Whichever software you use, it should support your business and make managing your finances easier, not harder.

Sometimes a few workflow improvements are all you need. Other times, switching platforms can save hours each month and give you better insight into your business.

If you've been wondering whether your current system is still the right fit, I'd be happy to help you evaluate your options. Whether you're using QuickBooks Online, Xero, Ambrook, or even spreadsheets, there's no one-size-fits-all solution—just the solution that's right for your business.

Things have been quiet on our page for a while - but not in our house!

I’ve been away on maternity leave for the past 4 weeks and will be out for another 2 weeks. I will continue to monitor emails periodically but you may not receive an immediate reply. I’ll be sure to get back with you as soon as things settle and I return to work! 🐝

Stewarding the Land for the Next Generation - Mike & Kendra Graham

The Graham family’s multi-generational Missouri cattle farm is built on hard work, resilience, and a deep commitment to caring for both their livestock and the land. From battling storms and financial pressure to balancing off-farm jobs and raising the next generation of farmers, Mike and Kendra share the realities of modern agriculture and the emotional weight of preserving a family legacy.

“Less than 2% of Americans feed the rest of us.” Behind every steak, glass of milk, and hayfield is a family carrying generations of sacrifice, stress, and pride. Mike and Kendra Graham open up about the sleepless nights, hard decisions, tornado damage, family pressure, and relentless work it takes to keep a farm alive for the next generation. This is the side of farming most people never see.

If you’ve ever said this, you’re not alone. It’s one of the most common frustrations I see with small business owners:
Sales are coming in, work is getting done, things feel busy... but the bank account doesn’t seem to reflect it.

Here’s what’s usually going on:
• Expenses are creeping up quietly
• Money is coming in, but not tracked clearly
• Business and personal spending are mixed
• No real picture of profit — just activity

So it feels like you’re doing well… but it’s hard to tell for sure.

🐝 The hard truth:
If you’re not looking at your numbers regularly, your money is still moving but you’re just not seeing where it’s going.
The good news? This is fixable.
With clean, consistent bookkeeping, you can actually see:
• What you’re earning
• What you’re spending
• What’s truly left over

And that changes everything — decisions, confidence, and planning.
You don’t always need to work harder to fix this. You just need clarity.

If you’ve ever thought this after harvest or livestock sales — you’re not alone.

This is one of the most common frustrations I hear from farmers:
Grain sold, cattle moved, the equipment is running, and bills are getting paid…but when you look at the bank account… it doesn’t quite add up like you expected.

Here’s what’s usually happening:
• Input costs (seed, feed, fuel, fertilizer) added up faster than expected
• Equipment repairs and operating costs quietly chipped away at cash flow
• Land payments and equipment loans are steadily pulling money out each month (and it’s easy to forget how much that adds up over a year)
• Income came in waves, but expenses kept flowing year-round
• Personal and farm spending may be overlapping in the same accounts
• No clear, up-to-date picture of profit per enterprise or season

So even in a “good year,” it can feel unclear where the money actually went.

🐝 The truth is:
If your books aren’t kept up consistently, you’re not seeing the full story of your farm — just pieces of it. The good news? This isn’t uncommon in agriculture — and it’s fixable.

With clean, consistent bookkeeping, you can actually see:
• What each enterprise is really making
• Where your biggest expenses are going
• How much is truly going to debt vs. operations
• What your real cash flow looks like through the year

💛 Farming will always have variables you can’t control — weather, markets, timing. But your numbers don’t have to be one of them. Clarity in the books brings clarity in the operation.

Let’s be honest — bookkeeping doesn’t hit the same in the middle of planting or harvest. (If it hits at all)
The key isn’t doing everything all the time… it’s doing the right things in the right season.

🌱🚜 BUSY SEASON (Planting, Hay, Harvest)
Goal: Keep it simple and don’t fall too far behind

Focus on quick habits (5–10 minutes):
• Glance at transactions — make sure nothing looks off
• Snap photos of receipts (fuel, repairs, inputs) and upload to software or apps
• Keep grain tickets, sale records, and invoices in one place

That’s it. No deep dives. No perfection.

🌾❄️ SLOW SEASON (Winter / Downtime)
Goal: Catch up and get clear

This is your time to:
• Categorize and clean up transactions
• Reconcile bank and credit card accounts
• Review income and expenses
• Get everything organized and ready for your tax preparer

This is where the clarity happens.

🐝 The Reality:
Trying to “stay perfectly caught up” during busy season?
Not realistic.

Letting everything pile up until tax time?
Also not ideal.

👉 The sweet spot is doing just enough during busy season so slow season isn’t overwhelming.

💛 Farming runs in seasons — your bookkeeping can too. A little effort when you can makes a big difference when it matters most.

Still bogged down or overwhelmed? Let me help! I can take the bookkeeping off your hands fully or work with you to develop a system that works for you!

If you spent this last tax season scrambling… this is your way out.
You don’t need hours every week — just a few intentional habits. See below for some weekly, monthly, and quarterly habits that will greatly improve next tax season.

🗓 Weekly (10–20 minutes):
1. Check your transactions.
Quickly review new income and expenses. Make sure everything looks familiar (no surprises 👀).
2. Categorize as you go.
Assign categories while it’s still fresh. Future you may or may not remember what “$47.32 at XYZ” was for.
3. Capture receipts.
Snap a photo or upload anything important. No more shoebox digging later.

📅 Monthly (30–60 minutes)
4. Reconcile Accounts.
Match your books to your bank and credit card statements. This is what keeps everything accurate.
5. Quick Financial Check-In.
Look at Income, Expenses, and Cash in the Bank. No need for deep analysis — just awareness.

🧾 Quarterly (15–30 minutes)
6. Set Aside / Review Taxes
Make sure you’ve set aside enough for taxes. Adjust if needed.

🐝 The Goal: Not perfection. Not hours of work. Just staying a little bit caught up all year so tax season becomes a simple handoff — not a stressful scramble.

7. Ask for help before you're behind. If you are struggling to keep up or what your next steps should be, reach out! Questions are easier to answer in real time than after months of confusion.

I'm taking on limited clients the next few months. Reach out today to claim your spot!

Tax season just wrapped up…

Which means a lot of business owners are coming off of:
• Late nights sorting receipts
• Digging through bank statements
• Trying to remember what that one charge was from last July
• Rushing to get everything to their tax preparer

Sound familiar? Every year, I see the same thing — not because people don’t care, but because life and business get busy. Bookkeeping gets pushed aside… until it can’t anymore.

Here’s the good news: You don’t have to relive that stress next year. Keeping up with your books just a little each month can mean:
✔ No last-minute scrambling
✔ Cleaner, more accurate records
✔ Faster, smoother tax prep
✔ Way less stress overall

🐝 Future you will be so glad you started now.
Even small steps such as staying caught up, asking questions, and getting help when needed, make a huge difference over time.
