Most financial tension doesn’t come from bad intentions.

It comes from unclear roles.

When people don’t know who owns what, tasks slip, frustration grows, and assumptions take over.

Strong organizations reduce tension by clarifying:
• who owns the process
• who supports it
• and who reviews decisions

Clear expecations creates calm — especially in growing teams.

Documentation often gets a bad reputation.

It feels boring.
It feels time-consuming.

But in strong organizations, documentation is a leadership tool.

It protects consistency.
It creates clarity.

And it prevents confusion when things get busy.

Without documentation, processes live in people’s heads — and stress increases.

May is a great time to shift how you think about documentation:
not as bureaucracy (red tape or excessive paperwork), but as protection.

If you’re starting to see how much is sitting in people’s heads, you’re not alone.

I break this down each month for business owners and nonprofit leaders.

I ran the Indy Mini 5K & Half Marathon recently—and something stuck with me the entire race.

It wasn’t just the miles. It was the people.

Strangers cheering: *“You got this!”*
Volunteers handing out water and Gatorade right when you needed it most.
A whole community showing up to help you finish.

And it hit me…

👉 No one gets through something hard alone.

The same is true for businesses and nonprofits.

Right now, I’m seeing too many organizations trying to “run their race” without support—
Guessing about cash flow
Unsure where their money is going
Growing, but feeling stretched thin

That’s exhausting. And unnecessary.

💡 That’s exactly why I created **Profit Pathways**.

It’s a 6-month small group designed to give leaders what every runner had on race day:
✔ Support
✔ Structure
✔ Accountability
✔ A community that helps you keep going

Because the organizations that make it aren’t always the fastest…

They’re the ones with people alongside them.

🚨 **Registration is now open, and spots are limited.**

If you—or someone you know—is tired of guessing about finances and ready for understanding:

Let’s make sure more organizations don’t just start the race—but finish strong. 🏁

This is a tough one — but an important one.
If your financial system only works because one person remembers everything, risk increases.

Not because that person isn’t capable —
but because no one can carry everything forever.

Strong organizations don’t rely on heroics.

They reduce dependency on any single individual.

May is the right time to ask:
If one person stepped away tomorrow, would the system still hold?

That question isn’t about fear.
It’s about resilience and responsible leadership.

If you know your business or nonprofit depends on one person holding everything together, that’s a risk.

And it usually doesn’t fix itself.

Let’s walk through it together.

There’s a common misconception that once systems are built, they just… work.

But systems don’t run themselves.
People run them.

Strong organizations understand that structure only holds when people understand their role in it.

When staff don’t fully understand the process, finance becomes fragile.
Things depend on memory instead of clarity.

And stress shows up the moment someone is out or overwhelmed.

May is when leaders should be asking:

Do our people understand the system — or are they just reacting to it?
Strong leadership isn’t about creating systems once.

It’s about making sure people can sustain them.

If this sounds familiar, start simple.

Get a clear view of what’s coming in and going out.

Download the cash flow spreadsheet below—
so you’re not leading off memory.

Most organizations say they want funding.

But when lenders start asking questions… things fall apart.

That’s what we addressed in Week 5 of the Loan Readiness Series.

Participants didn’t just “learn”—they left with:
✔️ Practical tools they can use immediately
✔️ A clear action plan for lending readiness
✔️ And most importantly… understanding how their business actually works together

Because here’s what many organizations miss:

Lenders aren’t just reviewing your financials.
They’re evaluating how your entire business operates.

We broke it down into 6 key areas:
• Leadership
• Marketing
• Sales
• Products
• Cash Flow
• Overhead

If even one of these is out of sync… it shows up in your numbers.

And that’s where deals start to fall apart.

One of the most impactful parts of the session—participants had direct access to CDFI representatives.

They asked real questions about their situations.
They got real answers.

No guessing. No assumptions.

Here’s the reality:
You don’t prepare for capital when you need it.
You prepare before the opportunity shows up.

That’s the difference between being overlooked… and being ready.

If your organization wants to be taken seriously by lenders, this work matters.

👉 If you're looking for a facilitator to help your organization become capital ready, let’s connect.

Understanding the difference between cash and accrual accounting isn't just for your accountant — it's essential for running a stronger organization.

Cash Method records income when you receive it and expenses when you pay them.

Best for: very small businesses, sole proprietors, or organizations that mainly operate with cash and need simple tracking.

Why: It’s easy to maintain and shows cash on hand right now.

Accrual Method records income when it's earned and expenses when they’re incurred, even if cash hasn't moved yet.

Best for: growing businesses, nonprofits managing grants/contracts, and organizations needing a full financial picture for planning and reporting.

Why: It gives a true view of financial health and future obligations.

If you want timely, accurate reports to guide decisions, plan cash flow, and meet funding or audit requirements, accrual accounting is usually the way to go.

Closing the books properly each month ties directly into whether you're managing your accounting on a cash or accrual basis — and knowing when to make the shift is key to your organization's success.

5 Things Businesses Get Wrong Before They Scale

#5: Making Decisions Without Data

Many business decisions are made based on instinct.
But scaling a business requires more than instinct.

In my Medium feature, I shared how decision-making without data can slow down growth.

I’ve seen business owners:
• Hire too early or too late
• Take on debt without a clear plan
• Expand without understanding their margins

Not because they aren’t capable—
But because they don’t have the right information.

At a certain level:
👉 Data reduces risk
👉 Data increases confidence
👉 Data supports better decisions

You don’t remove instinct.
You support it with numbers.

If your decisions feel heavy, it may not be the decision—it may be the lack of data behind it.

5 Things Businesses Get Wrong Before They Scale

#4: Confusing Growth with Stability

Growth does not mean your business is stable.
This is one of the most dangerous assumptions I see.

In my recent Medium feature, I shared how businesses can be growing—and still be financially fragile.

Here’s what that looks like:
• Revenue is increasing, but cash is tight
• More clients, but more stress
• More expenses, but no clear plan

Growth without structure creates pressure.

And pressure without systems leads to breakdown.

The goal is not just to grow.

👉 The goal is to grow in a way that is sustainable.

That requires:
• Understanding your numbers
• Managing cash intentionally
• Building processes that support scale

April tells the truth.

If the structure you built in Q1 is holding, you built something real.

If it’s slipping, you’ve learned something important.

Neither outcome is failure.

Strong organizations use April as feedback — not judgment.

They notice what’s working.

They address what’s slipping.

They adjust intentionally.

That’s what mature financial leadership looks like.
