🏥 HEALTHCARE PRACTICE OWNERS: THAT BOOKKEEPING PROBLEM YOU KEEP PUTTING OFF ISN'T GOING AWAY!

It's Friday!

You've spent another week taking care of patients, managing appointments, dealing with insurance companies, and keeping your practice running.

But there's one thing you keep pushing to the bottom of your to-do list.

YOUR BOOKKEEPING!

You keep telling yourself…

I'll catch up next weekend.

I'll get everything organized next month.

I'll deal with it before tax season.

Sound familiar? 👀

Here's the problem.

While you're busy taking care of everyone else, your business finances could be getting further behind.

And those transactions aren't going to categorize themselves!

Let's talk about what happens when bookkeeping gets neglected.

Your bank accounts aren't reconciled.

Your expenses aren't properly categorized.

You don't know your actual monthly profit.

You aren't sure how much to set aside for estimated taxes.

And when your accountant asks for financial reports, you're scrambling to get everything together.

Listen, you don't have to keep operating your practice this way.

Whether you're a therapist, psychiatrist, physician, or another healthcare practice owner, you deserve to understand your business finances without spending your weekends trying to fix them.

That's where professional bookkeeping comes in.

I help healthcare business owners get their books organized, understand their financial reports, and stay better prepared for tax season.

Because your time should be spent growing your practice, not stressing over bookkeeping.

💬 FRIDAY FINANCIAL CHECK-IN!

Be honest with yourself.

If I asked you for your January–September 2026 Profit & Loss Statement today, could you confidently hand it over?

👇 COMMENT READY if your books are current.

👇 COMMENT CLEANUP if you know your bookkeeping needs attention.

🔒 Don't want to discuss your finances publicly? Send me a private message.

📲 READY TO STOP PUTTING IT OFF?

Text CLEANUP to 470-470-6088 and let's discuss getting your bookkeeping back on track.

🏥 MEDICAL PRACTICE OWNERS: PROFITABLE OR JUST BUSY?

Let me ask you something.

You know how many patients you saw last month.

You probably know how much your practice collected.

But can you tell me EXACTLY how much profit your practice made?

And I don't mean how much money is sitting in your bank account!

Here's an example.

Your practice collects $75,000 in one month.

You pay:

$25,000 in payroll and related costs.
$8,000 in rent and utilities.
$5,000 in medical supplies.
$7,000 in administrative and operating expenses.

That's $45,000 in expenses.

You have $30,000 remaining before considering other expenses, adjustments, and taxes.

But here's the problem.

If your bookkeeping isn't current, how do you know whether those numbers are accurate?

What if expenses were missed?

What if loan payments were incorrectly categorized?

What if insurance reimbursements weren't recorded properly?

Your practice could look profitable on paper while your financial reports are telling an incomplete story.

And that's exactly why monthly bookkeeping matters!

You need accurate numbers to make decisions about hiring, equipment purchases, expansion, and your own compensation.

💬 LET'S DO A QUICK FINANCIAL CHECK!

Which one describes your practice?

🅰️ A — I know my monthly profit.

🅱️ B — I know my revenue, but I'm not sure about my profit.

🅲️ C — I need help understanding my financial reports.

👇 COMMENT A, B, OR C BELOW!

🩺 LOCUM CRNAs: JUST BECAUSE YOU'RE MAKING $200K DOESN'T MEAN YOU'RE KEEPING $200K!

Let's talk about something that doesn't get discussed enough.

You're picking up contracts, working long shifts, and bringing in serious money.

But here's the question…

Are you actually building wealth, or are you just earning a high income?

💰 MYTH: I make six figures, so my finances must be in good shape.

💡 REALITY: A high income without proper bookkeeping, cash flow management, and tax planning can leave you wondering where all your money went.

Think about it.

You have contract income coming in, but you also have:

• Professional liability insurance

• Licensing and credentialing expenses

• Travel and lodging costs

• Business operating expenses

• Federal and state tax obligations

Not every expense is automatically tax-deductible, but every legitimate business transaction needs to be tracked and properly classified.

Here's what I want you to understand:

You shouldn't have to wait until tax season to find out how much money your business actually made.

Your bookkeeping should help you understand your numbers throughout the year.

And your tax planning should help you prepare for your estimated tax obligations before the deadlines arrive.

Making $200K is impressive. Knowing what you're keeping is powerful.

👇 CRNAs, LET ME ASK YOU SOMETHING!

Are you currently tracking your business income and expenses every month?

💬 Comment YES if your books are current.

💬 Comment HELP if you've fallen behind.

Prefer to keep your business private? Send me a DM.

The carousel covers the why. Here's the piece I see missed most often: when W-2 and 1099 income share one ledger, the 1099 deductions get buried and the quarterly estimates get guessed at.

I keep the two streams in separate buckets from day one, so I can see what your business actually earns and spends, and what your W-2 job is quietly costing you in tax.

If you're a traveling nurse, therapist, or CRNA juggling both, your state and assignment history change the fix. Comment NURSE below and I'll send you the details, or text 470-470-6088 with your situation.

🩺 LOCUM TENENS PHYSICIANS & CRNAs — THAT BIG CONTRACT PAYMENT ISN'T ALL YOURS!

You just received a $15,000 payment for your latest assignment.

Feels good, right?

But before you start spending, let me ask you something.

How much of that money is actually yours to keep?

If you're working as a 1099 independent contractor, that payment is generally business revenue, not your take-home profit.

Here's where I see healthcare professionals getting into trouble:

💰 They receive a large contract payment and forget to set money aside for taxes.

💰 They pay business expenses directly from their personal accounts without keeping proper records.

💰 They don't track credentialing fees, licensing, professional insurance, travel expenses, and other potentially deductible business costs.

💰 They have no idea how much they're actually earning after expenses.

And then tax season comes around.

SURPRISE! A tax bill they weren't prepared for.

Listen, earning six figures doesn't automatically mean you're managing six figures properly.

Your bookkeeping should help you understand your income, expenses, cash flow, and estimated tax obligations throughout the year.

And yes, that includes knowing approximately how much you may need to pay in quarterly estimated taxes.

Let's do a quick money check!

👇 COMMENT BELOW:

A — I track everything and know my numbers.

B — I track some things, but I need to do better.

C — I make the money, but my bookkeeping needs help!

🏥 MEDICAL PRACTICE OWNERS: YOUR PRACTICE IS BUSY, BUT IS IT ACTUALLY PROFITABLE?

Your appointment calendar is full.

Your patients are being seen.

Insurance reimbursements are coming in.

Your staff is getting paid.

So why does it feel like there's never enough money left over?

Here's something I want you to think about.

A busy medical practice doesn't automatically mean a profitable medical practice.

You could be collecting $40,000, $60,000, or even $100,000 a month and still struggle with cash flow.

Why?

Because bringing money in and managing money are two different things.

When your bookkeeping isn't properly maintained, you may not know:

❌ How much your practice actually spends on payroll.

❌ Whether your operating expenses are increasing faster than revenue.

❌ How much money you should be setting aside for estimated taxes.

❌ Whether your practice is generating enough profit to support your compensation.

❌ Where your money is going every month.

Here's what I tell practice owners:

You went into healthcare to care for patients. But you're also running a business, and that business needs financial attention.

Accurate monthly bookkeeping gives you the information you need to make better decisions about staffing, spending, growth, and profitability.

**Your practice deserves more than a full appointment calendar. It deserves financial clarity.**

💬 **LET'S TALK:** Do you know your practice's actual net profit from last month?

Or are you just looking at how much money came into the bank?

📲 **NEED HELP GETTING YOUR PRACTICE'S BOOKKEEPING UNDER CONTROL?**

Michelle, The Accountant can help you get organized, understand your financial reports, and make more informed business decisions.

10/26/2026

If you're a nurse, therapist, physician, or CRNA earning both W-2 and 1099 income, you're really running two tax systems at once. Most of the money I see leak out of those practices doesn't happen on either side on its own. It happens in the gap between them.

Here's the four-step cycle I walk my clients through to close that gap.

1. Separate your W-2 and 1099 income
Keep the two streams in separate records from day one. When your W-2 paycheck and your 1099 invoices land in the same bank account with no tagging, it becomes nearly impossible to tell which expenses belong to which income. That confusion is where deductions quietly disappear.

2. Track 1099 expenses as they happen
Receipts, mileage, continuing education, licensing fees, and equipment should be logged monthly, not reconstructed in April. The practical move: pick one business account and one card for 1099 work, and reconcile them every month. Clean records are what let you claim every legitimate deduction with confidence.

3. Pay quarterly estimated taxes on the 1099 portion
Your W-2 withholding doesn't cover the self-employment tax on your 1099 income. If you wait until tax season, you can face a surprise bill and underpayment penalties. Calculate the 1099 share each quarter and set it aside as a percentage of every payment you receive.

4. Review deductions together, mid-year and at year-end
This is where the two systems finally talk to each other. A mid-year review lets you check allocations, catch missed deductions, and adjust your withholding or estimates before the year closes. Waiting until filing season means you can only react, not plan.

Run this cycle consistently and the two income streams stop working against each other. You keep more of what you earn, and tax time stops being a scramble.

If you want to see how this cycle would look for your specific mix of W-2 and 1099 income, send me a text. Text TAX to 470-470-6088 and I'll share next steps for mapping your own cycle.

Business meals: do you know the difference?

Business meals are generally 50% deductible. But if you don't track them correctly, they can be completely non-deductible.

For every business meal, keep a record of:

The date
Where you went
Who you met
What business you discussed
Your receipt

And please don't assume dinner with family counts because you talked about your business. That's not considered a business meal.

Write it down. Keep the receipt. Protect your deduction.

🚨 Locum Tenens CRNAs: The Highest-Paying Contract Isn't Always the Most Profitable!

That assignment offering a higher hourly rate might look like the better opportunity, but have you calculated what you'll actually keep?

Before accepting your next contract, consider these three things:

1. Travel and lodging expenses. Who pays for airfare, hotels, rental cars, and transportation? Are those costs reimbursed?
2. Contract terms. Are you guaranteed a certain number of hours? What happens if shifts are canceled?
3. Your actual profit. After business expenses and applicable taxes, how much of that contract income will you really keep?

A contract paying more per hour doesn't automatically mean you'll make more money.

💡 The real goal is to choose assignments based on profitability, not just the advertised rate.

CRNAs, when you're reviewing a new assignment, are you comparing the hourly rate or the overall financial opportunity?
