In short, as a small business bookkeeper, I need to see how money comes in and goes out from your business. ๐
From an access perspective, I usually ask for:
โ Read-only access to your bank statements and credit cards (or, you can upload these each month!).
โ Access to your payment processor(s) like Stripe, PayPal, Square, Shopify, or HoneyBook.
โ Any loan statements (to correctly split your payments between interest + principal, and tie out your loan balances).
โ Your payroll provider (ADP, Gusto, QuickBooks payroll, etc.)
โ Prior-year tax returns
โ W-9s for any contractors
โ Access to your accounting software (such as QuickBooks Online or Xero), sales tax information (if applicable), and any outstanding invoices or accounts receivable reports.
Your financial information is important to me. I use secure, password-protected systems and request only the access needed to manage your books. Your information is kept confidential and is never shared without your authorization.
