When we onboard a new client at Profit Ledger Accounting, we run a full 90-day expense audit.

Nine times out of ten, we uncover $400 to $1,200 in monthly charges our client had completely forgotten about:
• Software subscriptions they upgraded for a single project 8 months ago.
• Duplicate cloud storage accounts.
• Recurring ad spend on old campaigns with broken landing pages.
• Unused seats on project management tools.

Over a year, that’s $6,000 to $14,000 of pure profit flushed down the drain.

💡 Do this mini-audit today:

Download a CSV export of your last 90 days of transactions.
Sort by "Vendor Name."
Highlight every monthly charge under $100 (that’s where subscriptions hide).
Cancel anything your team hasn't logged into in the last 30 days.
Clean bookkeeping isn't just about taxes; it's about keeping more of your hard-earned cash inside your business.

If the only time you hear from your tax professional is an email in March that says "Here is what you owe," you don't have a financial partner. You have a tax historian.

Historians record the past. Strategists help you protect your future.

By the time December 31st passes, 90% of your tax-saving moves are gone. You can’t implement strategic entity restructuring, optimize equipment depreciation, or adjust your retirement contributions retroactively.

💡 Proactive Bookkeeping gives you:

• Real-time visibility into your year-to-date taxable profit.

• Clean quarterly reports so you never face a surprise five-figure tax bill.

• Strategy calls before you make major investments or hires.

At Profit Ledger Accounting, we believe your financial records tell the living story of your hard work. You deserve a partner who watches your back all 12 months of the year.

I had a discovery call with a brilliant freelance consultant who admitted: "Ludmila, I used my business debit card for groceries last week, and I bought my client's software on my personal credit card. How bad is that?"

It happens all the time. But commingling personal and business funds is the fastest way to:
❌ "Pierce the corporate veil" (erasing your LLC’s legal protection).
❌ Miss out on thousands in legitimate write-offs.
❌ Turn your tax filing into an expensive forensic accounting nightmare.

💡 The Simple 3-Account Rule I give every entrepreneur:

Operating Account (Checking): All business income lands here; all business bills are paid from here.
Tax Reserve (High-Yield Savings): Move 20–25% of your net income here every Friday. Don’t touch it until tax quarter.
Owner's Pay (Personal Account): Transfer a fixed, predictable draw or salary to your personal bank twice a month.
Clean lines make clean books. And clean books save you thousands in taxes.

If your accounts are a bit tangled right now, don’t feel ashamed. We fix messy books every single day without judgment.

It’s Sunday night. You should be resting or enjoying dinner with your family.

Instead, you’re staring at two open bank tabs, a spreadsheet from 2023, and a pile of crumpled debit card receipts, trying to remember what a $142.80 charge at “OFFICE SUPPLIES DIRECT” was for last March.

Here’s the truth: You didn’t start your business to become a late-night data entry clerk.

When you spend your best mental energy playing catch-up with your books, you aren't doing the work that actually brings in clients.

💡 How to stop the Sunday scramble:

Automate your bank feeds: Connect your business accounts to QuickBooks or Xero so transactions pull automatically daily.
Use a receipt scanner on the go: Snap photos inside your accounting app the second you pay—never let receipts touch your wallet.
Set a recurring 15-minute weekly calendar block: Reconcile weekly instead of letting 12 months pile up into tax-season dread.
Or better yet? Hand it over completely to someone who loves doing it.

At Profit Ledger Accounting, we give you your weekends back with fixed, transparent monthly bookkeeping,no surprise hourly bills, no stress.

I had a discovery call with a brilliant freelance consultant who admitted: "Ludmila, I used my business debit card for groceries last week, and I bought my client's software on my personal credit card. How bad is that?"

08/31/2026

Last week, a client told me: "Ludmila, Stripe says I had a $42,000 month, but I felt sick checking my business checking account yesterday. Where did it actually go?"

That knot in your stomach? You aren’t alone, and you aren’t bad at business. You’re just operating without clean books.

When money comes in fast, it leaves even faster through:

1️⃣ Phantom software subscriptions you forgot to cancel.

2️⃣ Merchant processing fees eating 3–4% off the top.

3️⃣ Vendor payouts hitting your account on unexpected dates.

Revenue is vanity. Profit is sanity. Cash flow is reality.

💡 Try this 15-minute fix this Friday:

Log into your business bank account and pull the last 30 days of expenses. Group every dollar into just three buckets:

• Direct Costs: (What you need to deliver your service/product)

• Overhead: (Rent, software, utilities)

• Discretionary: (Things you bought on a whim that generated $0 return)

If your overhead bucket is taking up more than 30% of your total revenue, you don't have a sales problem, you have a margin problem.

At Profit Ledger Accounting, we turn your messy numbers into clear roadmaps so you always know your exact take-home profit.

Stop guessing what you can afford to pay yourself.

I want to share something personal with you today. 🤍

When I started Profit Ledger Accounting, it wasn't just because I love accounting (although I genuinely do 😄).

It was because I kept seeing a pattern that frustrated me deeply.

Smart, hardworking entrepreneurs, people who had built something real from nothing, were constantly stressed about money. Not because their businesses weren't good. But because no one had ever sat with them and actually explained their numbers. No one made it feel manageable. No one was in their corner year-round.

They'd see an accountant once a year in April. Get a number. Pay it. And go back to operating in the dark for the next 11 months.

That's not a financial partnership. That's a transaction.

I built Profit Ledger Accounting to be something different.

A place where a small business owner in Miami, or a freelancer in Texas, or a startup founder in New York can get personalized, one-on-one financial support from someone who actually cares whether their business thrives.

Where pricing is transparent and fixed, because you shouldn't have to wonder what your accountant is going to charge you.

Where bookkeeping, tax strategy, payroll, and financial consulting are handled by someone who sees your numbers as the story of your hard work and your dreams, not just data on a spreadsheet.

If you've been running your business without a real financial partner, I'd love to be that for you.

📞 Let's start with a simple, free 20-minute conversation. No pressure. Just clarity.

Because your business deserves more than just a tax season accountant. It deserves a lifelong financial partner. 🙌

Can we talk about one of the most awkward topics in small business? 💬

Paying yourself.

So many business owners I work with either:

A) Never pay themselves consistently, just take money when they "need it" and hope it works out

or

B) Pay themselves too much too soon and accidentally starve their business of the cash it needs to grow

Both create real problems. And both are completely fixable with the right structure.

Here's how to think about it depending on your business type:

Sole Proprietor or Single-Member LLC?

→ You pay yourself through an owner's draw

→ Key: set a fixed amount each month based on what your books show you can sustain

→ Do NOT just transfer money randomly, that makes bookkeeping a nightmare

S-Corp Election?

→ You're required to pay yourself a reasonable salary

→ Then additional profit distributions on top of that

→ Getting this wrong is a huge IRS red flag, get professional guidance here

Partnership or Multi-Member LLC?

→ Profit splits need to match your operating agreement exactly

→ Every distribution needs to be recorded properly

The rule of thumb I give every client: know your numbers before you set your pay. Look at your last 3 months of net profit. Be conservative. Build a cushion first.

Your business can't take care of you if you're not taking care of it financially. 💼

I'm Ludmila Marinov at Profit Ledger Accounting, and yes, this is a conversation I have with clients all the time and I love it.

Starting a business is exciting. I know, I've been there. 🚀

You've got the idea, the energy, the clients starting to come in. Everything feels like it's moving.

But then six months in, growth stalls. Profit feels impossible to track. You're busy but somehow not ahead. And you can't quite figure out why.

In my experience working with startups and new business owners, the answer is almost always this: you're making decisions without data.

You're pricing based on what feels right, not what your numbers say you need.

You're hiring before you've confirmed you can sustain payroll.

You're investing in marketing without knowing your actual profit margin.

You're scaling a model that, on paper, isn't profitable yet.

None of this is failure. It's just what happens when you're moving fast without a financial roadmap.

Here's what every startup needs from day one (seriously, day one):

📌 A separate business bank account, non-negotiable

📌 A simple chart of accounts set up in bookkeeping software

📌 Monthly reconciliation so you always know where you stand

📌 A break-even analysis, know exactly what you need to make to cover costs

📌 A quarterly check-in with a financial professional who understands startups

You don't need to be a million-dollar company to deserve professional financial support. You need it most when you're building the foundation.

At Profit Ledger Accounting, I specialize in working with startups, small businesses, and freelancers, with services designed specifically for where you are right now, not where you'll be in 10 years.
