A contractor asked us: "My QuickBooks shows we're profitable, but my bank account says otherwise. Where's the disconnect?"

Here's what we told him: nine times out of ten, it's not one big problem — it's a handful of small setup issues stacking up. The two biggest culprits are job costing that was never turned on, so you can't see which jobs are actually profitable, and reports running cash-basis when you need accrual, job-costed numbers to see committed costs and retainage. Neither one shows up as a red flag in QuickBooks. They just quietly make your profit number wrong.

The fix isn't new software — it's about half a day of setup. We wrote up all six of the most common culprits this week, if you want to check your own file against the list.

A restaurant owner asked us this week:

"My books look fine, but cash is always tight. What's wrong?"

Here's the gap most restaurant owners don't see:

Profitable on paper doesn't mean cash-positive in your bank account. The two can be wildly different — and in restaurants, they usually are.

Three things that create this gap more than anything else:

1. COGS timing. Food costs hit your books when the invoice lands — not when you actually serve the food. In a high-volume week, you might record $8,000 in food cost while only $6,000 of it has actually been consumed.

2. Inventory. If you're not tracking inventory tightly, your books will show you've 'spent' money that's sitting on your shelf. Not lost — just tied up.

3. Payroll timing. Weekly payroll can land on different sides of a month-end close depending on the calendar. Some months look cash-heavy, some look lean, based purely on when payday falls.

Profitable on paper is a good sign. But cash flow is what keeps the doors open.

Most year-end tax advice is vague. "Maximize deductions." "Think about retirement plans." Thanks — very helpful.

Here's what that actually means for Wisconsin small business owners, with real numbers:
→ Solo 401(k) contributions up to $69,000 — but the plan has to exist by December 31
→ Section 179 equipment deductions — the equipment has to be in service, not just ordered
→ S-Corp salary review before the W-2 is finalized
→ Accelerating expenses if this year's income is running hot
→ Q4 estimated tax calibration before January 15
