Summer hiring looks easy until it isn't.

Seasonal employees, part-time schedules, tipped workers, minors with work permits, and fluctuating hours all come with payroll requirements that catch business owners off guard every year.

A few things worth getting right before they become a problem:
Proper classification for seasonal and part-time staff
Correct withholding for tipped employees
Compliance with minor labor laws if you're hiring students
Accurate tracking for variable-hour workers

Summer moves fast. Your payroll setup should be ready before the rush, not during it.

Talk to your local Payroll Vault office about getting your summer payroll dialed in.

July means you're halfway through the year! That's a good thing to celebrate and a good time to make sure your payroll is in order before Q3 picks up.

A quick mid-year review can catch more than you'd expect: misclassified employees, outdated tax withholdings, missing documentation, or deadlines that are closer than they look.

Here's what to put on your checklist:
Employee classification (W-2 vs. 1099)
Federal and state tax deposit schedules
Year-to-date payroll reports
Benefit deductions and changes
Any new hires or terminations since January

Not sure where to start? That's what we're here for. Connect with your local Payroll Vault team and get a mid-year payroll review on the calendar today!

I was honored to visit Slate at Founders Tower last week for a South Chamber After Hours Event. For those of you who have lived in OKC as long as I have, do you have any special memories of this space? Mine is when my grandmother brought me to The Chandelle Club as it was called then for my birthday and told me I could order anything wanted, even the lobster 🦞. So of course, my 7 year old self ordered lobster. I haven't had lobster since I become a vegetarian 20 plus years ago, but I do remember how delicious that lobster drenched in butter was.

You built something worth celebrating.

Running your own business takes the kind of determination most people only admire from the outside. This Fourth of July, that's worth acknowledging.

Payroll shouldn't be the thing that takes your time, your energy, or your peace of mind. That's our job.

From our team to yours: happy Independence Day. Enjoy the day off. You've earned it.

Myth: Payroll is just cutting checks.
Fact: Payroll is one of the most compliance-heavy processes in your business.

Here's what's actually happening behind every pay run:
Tax calculations and withholdings for federal, state, and local requirements
Wage and hour law compliance (overtime, pay frequency, final paychecks)
New hire reporting and onboarding documentation
Benefits deductions, garnishments, and retirement contributions
Payroll tax deposits and quarterly filings
Year-end W-2 and 1099 preparation

One miscalculation or missed deadline can mean penalties, back taxes, or unhappy employees.

Payroll done right isn't just about getting people paid. It's about keeping your business protected every single pay period. Run your business with confidence with Payroll Vault.

Thanks to Ryan Lassiter, owner of Image in Norman OK for reminding me that 4 years is entirely too long to go without new headshots. I would love to hear from my friends which image you think I should I use? I can't decide, I think they all turned out fabulously. Ryan is truly an artist.

FAQ of the Month: What should I look for in a small business payroll provider?

It's a great question, and the answer matters more than most business owners realize. Not all payroll providers are built for small businesses.
Here's what to look for:

Scalability: Your payroll needs will change as you grow. Your provider should grow with you.
Real support: Direct access to a dedicated specialist, not a chatbot or a call center queue.
Full compliance coverage: Federal, state, and local requirements handled accurately, every pay period.
More than just payroll: Look for a provider who can also support HR, time tracking, and benefits as your needs expand.
Local knowledge: A provider who understands your business environment and the regulations specific to your area.
Transparent, flexible pricing: Pay for what you actually need, not a rigid package built for someone else's business.

The right payroll partner doesn't just process checks. They protect your business, support your team, and free you up to focus on what you do best.

Payroll has a lot of terms that sound similar but mean very different things. Let's clear a few up.

Contractor vs. Employee
The difference isn't just a title. It affects taxes, benefits, legal liability, and how you handle their pay. Misclassifying a worker can lead to back taxes and penalties. When in doubt, get it right from the start.

Biweekly vs. Semi-Monthly
Biweekly means every two weeks (26 pay periods a year). Semi-monthly means twice a month (24 pay periods a year). They sound the same, but your payroll calendar, cash flow, and tax deposits work differently for each.

Gross Pay vs. Net Pay
Gross pay is what an employee earns before deductions. Net pay is what they take home. Knowing the difference matters when you're budgeting for labor costs.

Getting these right keeps your business protected and your employees paid accurately.
