Payroll is about more than just paychecks. If you have employees, Form 941 shapes your relationship with the IRS every three months.
Form 941 is the Employer's Quarterly Federal Tax Return. Four times a year, it reports how much you withheld from your team's paychecks and how much payroll tax you owe.
What you report on it:
Federal income tax withheld from your employees' wages
Social Security and Medicare (the F**A taxes), both the employee portion and your matching share as the employer
Your total tax liability for the quarter, compared to the deposits you've already made
Almost every business with W-2 employees has to file it. Even in a quarter with no wages, the IRS still expects the form (you just check a box).
Why it matters: at year end, the IRS matches your 941 against your W-2s and W-3. If the numbers don't line up, or if filing is done late, penalties and interest follow quickly. Filing accurately and on time keeps your business off the IRS's radar.
Deadlines land on the last day of the month after each quarter closes: April 30, July 31, October 31, and January 31.
