Quick tip for small business owners who get paid by app or card reader. 📱

Payments through Venmo, PayPal, Cash App, Zelle, or a card reader are business income whether or not you ever receive a Form 1099-K. Keep business payments separate from personal ones, download your app reports each month, and mark refunds, fees, and personal transfers so they aren't counted as sales. Platform fees are usually a deductible business expense, so keep those records too.

Educational only: check with your tax pro about your situation.

Quick Sunday tip for small business owners: keep business and personal money apart. 💳

Open a checking account and a card used only for the business, and pay yourself with a transfer instead of swiping the business card for personal things. Your books stay cleaner, deductions are easier to support, and tax time gets a lot less stressful. For LLCs, separate funds also help show the business stands on its own.

Bringing on extra help for the holiday season? Do the paperwork before their first shift.

Have each new hire fill out a Form W-4 so the right tax comes out of the first paycheck, and complete Form I-9 (the employee does Section 1 by day one; you finish Section 2 within three business days). Texas employers also report new hires to the state within 20 days.

Remember that a short job doesn't make someone a contractor. Seasonal workers are usually employees, so add them to payroll before the first pay date.

Educational only: every business is different, so check with your tax pro before you hire.

Business owners, here's a quick Saturday task that can make tax season calmer.

Run your year-to-date profit and loss report and compare it to the same months last year. Clear out any uncategorized transactions first so the number is accurate.

If profit is higher than you expected, you still have time to review your estimated tax payments and plan year-end moves like needed equipment or retirement contributions. After December 31, most of those options are gone.

Educational only: every business is different, so check with your tax pro before deciding.

Self-employed and working from home? Here's a quick Saturday task.

If part of your home is used regularly and exclusively for your business, you may qualify for the home office deduction. What matters most is having records you can back up.

This weekend: measure the office space and your whole home, take a dated photo of the setup, and put your rent or mortgage interest, utilities, and insurance bills in one folder.

You can figure the deduction with the simplified method ($5 per square foot, up to 300 square feet) or with actual expenses, and the better choice depends on your situation.

Educational only: rules differ for W-2 employees, and every situation is different.

CPAcloud9 helps self-employed people and small businesses across DFW (Dallas-Fort Worth), TX keep records that hold up.

ITIN holders: a quick check before tax season.

If your ITIN wasn't used on a federal tax return at least once for tax years 2023, 2024, or 2025, it expires on December 31, 2026. That goes for your spouse's and dependents' ITINs too.

If you'll file a 2026 return or be listed on one, renew with Form W-7. You can send the renewal now; there's no need to wait for filing season. Processing can take several weeks, and an expired ITIN on a return can delay your refund.

CPAcloud9 helps with ITIN applications and renewals for families and individuals across DFW (Dallas-Fort Worth), TX.

Texas sellers: your next sales tax return is due Tuesday, October 20.

That's September for monthly filers and July through September for quarterly filers.

This weekend: match your POS sales to your bank deposits, set aside exempt sales (with certificates on file), and check local rates by location. Then file with the Texas Comptroller, even if you had zero sales. A missed "no sales" return can still bring a penalty, and filing on time can earn a small discount.

Educational only: every business is different.

CPAcloud9 handles sales tax filings and the bookkeeping behind them for businesses across DFW (Dallas-Fort Worth), TX.

Missed the October 15 extension deadline? The best time to file is now.

If you owe tax, the IRS late-filing penalty is usually 5% of the unpaid tax for each month the return is late, up to 25%, plus interest. Filing today stops that penalty from growing, even if you can't pay the full balance yet. Pay what you can and look at an IRS payment plan for the rest.

Expecting a refund? There's generally no late-filing penalty, but you only have about 3 years to claim it.

Educational only: every situation is different.

CPAcloud9 helps individuals and owners across DFW (Dallas-Fort Worth), TX get late returns filed and back on track.

Got a letter from the IRS? The worst move is leaving it unopened in a drawer.

Most IRS letters are routine: a question about a number, a balance due, or a change to your return. They come with a response date, and missing it is what turns a simple fix into penalties and interest.

When one shows up: find the notice number (like CP2000) and the respond-by date, compare it with your return and records, and reply on time. Keep a copy of everything.

Heads up: the IRS starts contact by mail. A text, email, or social media message claiming to be the IRS is a scam sign.

Educational only: every situation is different.

Two and a half months left in the year, and that's still enough time to fix your paycheck withholding.

If you started a side gig, got a raise, changed jobs, married, or had a baby this year, the tax taken from your paychecks may no longer match what you'll owe.

This week: grab your latest pay stub and last year's return, run the IRS Tax Withholding Estimator, and give your employer an updated Form W-4 if it shows a gap. With fewer paychecks left, even a small change per check adds up.

Educational only: every situation is different.
