Accounts payable feels simple until it isn't, and a sloppy AP process is one of the fastest ways to bleed cash without realizing it.

A few best practices that make a real difference:

Centralize every bill in one place (not scattered across email, texts, and a shoebox of receipts)

Set a consistent schedule for reviewing and approving invoices. Don't take the “when I get around to it” approach.

Match every invoice to the Purchase Order (PO) or job it belongs to before paying it. This is key to making sure everything reconciles and bills aren’t overpaid.

Take advantage of early-pay discounts when your cash flow allows it.

Track what's owed against your cash position weekly, not just when a check is about to bounce. This requires that your books are balanced weekly.

Angry vendors can make a business owner a nervous wreck. Making sure they get paid on time keeps them off your back and more likely to give you discounts in the future.

Good AP isn't about being pedantic. But it’s important to know exactly what you owe, when it's due, and whether you can actually afford it, before you're caught off guard.

"I'll just do the books myself and save some money."

That's the plan for a lot of contractors. And I totally get it. You want to cut expenses where you can, and bookkeeping isn’t that hard, right?

But more often than not, it backfires on them. The reason? Simple. DIY books produce DIY results.

Transactions get miscategorized which hide your real job costs and profit margins.

You miss a reconciliation period which would’ve caught a duplicate expense that wasn’t matched correctly in the bank feed.

You go out of town for a few weeks and come back to find your books haven’t been touched, you got hundreds of transactions to categorize, payroll to run and vendors breathing down your neck for payment on overdue invoices.

By this point, you’re probably wondering why you thought it was a good idea to do it all yourself.

And the "savings" rarely hold up.

Between the hours you spend (that you could be spending with your family), the cleanup costs when it finally gets handed to a pro, and the tax mistakes that get missed, DIY bookkeeping is usually the more expensive option, just spread out so you don't notice it until later.

The reality is that outsourcing really isn't an expense. It's what keeps your numbers accurate so you can make accurate decisions and peace of mind knowing that you have one less thing to worry about.

Most of my clients are only really concerned about their P&L, more specifically, the bottom line.

But if you only look at profit and loss, you're missing half the story.

Your P&L tells you if last month was good. Your balance sheet on the other hand tells you if your business is actually healthy.

How much cash you really have – Balance Sheet
What you owe versus what you own – Balance Sheet
Whether you're building equity or quietly going backward – Balance Sheet

A contractor can show a "profitable" month on paper and still be one bad week away from not making payroll, because the P&L doesn't show the loan payment coming due, the retainage sitting uncollected, or the equipment debt piling up.

If your bookkeeper only sends you a P&L, ask for the balance sheet too. That's where the real risk (and the real progress) lives.

Three tax strategy moves I see trade business owners miss constantly:

Not tracking vehicle and equipment expenses correctly. Mileage vs. actual expense method, Section 179 on equipment purchases, these decisions matter and most owners are guessing instead of planning.

Treating tax season as a once-a-year event. If you're only thinking about taxes in March, you're reacting instead of strategizing. Quarterly check-ins mean no surprises and no missed opportunities.

Mixing personal and business expenses. It muddies your deductions, makes your books harder to trust, and raises audit risk. Clean separation is one of the easiest ways to protect yourself.

Tax strategy isn't about scrambling to find deductions in April. It's about making decisions throughout the year that reduce what you owe and keep your books defensible.

If your bookkeeper and your tax preparer have never actually talked to each other, you're probably leaving money on the table.

"Supplies & Materials: $42,000."

That's the whole story your books are telling you if everything gets lumped into one bucket.

No job breakdown. No labor split. Just one big number that tells you nothing meaningful.

Here's what that hides: Job A looked profitable on paper. Solid revenue, decent margin, felt like a win.

But once we broke out labor and materials by job, it turned out Job A actually lost money.

A change order never got billed, and overtime hours got buried in your overhead costs instead of tied to the job that caused them.

This happens constantly with trade businesses. Owners are working hard, staying busy, and still can't tell you which job types actually make money.

If you can't answer that question off the top of your head, your books are hiding money from you.

Job costing isn't a "nice to have." It's the difference between guessing and knowing.

And the difference between guessing and knowing is also the difference between a business that scales, and one that stays stagnant.
