“I thought I could just handle the bookkeeping myself until the business got bigger.”

And that makes complete sense.

When you are starting a business, there are clients to find, jobs to finish, estimates to send, invoices to collect, materials to buy and a hundred other things competing for your attention.

Bookkeeping can feel like something that can wait.

Until it cannot.

A few busy months go by and suddenly there are receipts in the truck, purchases on different cards, deposits that need to be matched, subscriptions nobody remembers signing up for and expenses that still need to be tied back to the business.

For contractors and home service business owners, it can get even messier when you are also dealing with job deposits, equipment purchases, subcontractors, fuel, materials and payments coming in from different customers.

That is usually when we hear:

“I wish I had taken care of this sooner.”

Not because the business owner was careless.

Usually the opposite.

They were busy actually running the business.

But once the financial side falls far enough behind, catching up becomes another project on top of everything else.

Getting a simple system in place early is much easier than trying to reconstruct months of business activity later.

The earlier the books are organized, the easier it is to keep them that way as the business grows.

What if one small bookkeeping mistake was quietly making your business look less profitable than it actually is?

During a recent month end review, we noticed a $3,000 business credit card payment had been categorized as an expense instead of a transfer. The purchases made on the card had already been recorded as expenses, which meant that $3,000 was essentially being counted twice.

It wasn’t something that would necessarily jump out when looking at individual transactions, but it did stand out once we reviewed the month as a whole.

We corrected it before closing out the books, and the financial reports then reflected what actually happened in the business.

That is one of the reasons we don’t just categorize transactions and call the month finished.

Month end is when we reconcile the accounts, look for anything that doesn’t make sense, check outstanding invoices and review the Profit & Loss for accuracy.

Because sometimes the numbers look perfectly normal - until you take a closer look.

Vidas had a great time attending Cafecito Con Conexiones, hosted by the Tampa Bay Latin Chamber of Commerce at iHeartRadio in Clearwater this morning.

It was a great opportunity to meet new people, reconnect with familiar faces and have meaningful conversations with local business professionals.

He also enjoyed getting a closer look at iHeartRadio and experiencing a little of what happens behind the scenes.

We always value opportunities to connect with local business owners and professionals who are building strong businesses and strengthening our Tampa Bay community.

Vidas and I visited St. Petersburg Toastmasters, and seeing him back in that environment brought back a lot of memories. He spent seven years with Toastmasters in Kaunas, Lithuania, and that is actually where the two of us met.

He has always said that public speaking is like a muscle - you have to keep flexing it if you want to stay good at it. After several years without practicing, yesterday he got a chance to flex that muscle again, even if just for a few minutes.

This time there is an added challenge - doing it all in English instead of Lithuanian.

It was really nice watching him get up there again, share his thoughts and say how good it felt to be back in a Toastmasters room after all these years.

I also think there is something really valuable about continuing to put yourself in situations that challenge you and push you outside of your comfort zone. Even when you have years of experience with something, there is always another level to grow into. For Vidas, doing something he was once very comfortable with, but now in his second language, brings a whole new challenge.

And now it looks like Toastmasters might become part of our lives again - just in a different country, a different language and a completely different chapter of our lives.

Use dedicated business bank and credit card accounts for business activity. It makes transactions easier to track, bookkeeping cleaner and financial reports more useful.
