As small business owners, we spend a lot of time talking about serving our customers and growing our businesses—but I believe we should also look for opportunities to serve our community.

Giving back doesn't always have to be big. Sometimes it's supporting a local school, donating your time, sponsoring an organization, or simply helping someone who needs it.

🚨 BURDEN OF PROOF: IT’S ON YOU! 🚨

One thing I wish every small business owner understood:

When it comes to your tax deductions, the burden of proof generally falls on YOU—the taxpayer—not the IRS.

Think about it this way…

You tell the IRS:

💰 “That was a business expense.”
🚗 “Those were business miles.”
🏠 “I used part of my home for my business.”
🍽️ “That was a business meal.”

The IRS can ask:

“Can you prove it?” 👀

And “I know I spent it” isn't always enough.

You need the documentation to support your claim—receipts, invoices, mileage records, business purpose, bank/credit card records, and other appropriate documentation.

📌 Your bookkeeping records are part of that paper trail.

This is why keeping your books up to date isn't just about knowing whether you're making money. It's about having organized records that help support the numbers you're reporting on your tax return.

Don't wait until tax time to try to recreate an entire year's worth of transactions. 😳

Keep the records. Keep the receipts. Keep the explanations.

Because when it comes to proving your deductions…

Before you jump into September, take a few minutes today to prep your books so next week’s bookkeeping doesn't feel overwhelming.

A little preparation now can save you a LOT of time later.

✔️ Gather your receipts
✔️ Download your bank & credit card statements
✔️ Make sure all deposits are accounted for
✔️ Upload invoices and bills
✔️ Check for any unusual or personal transactions
✔️ Set aside anything you're not sure how to categorize

Then next week, you can sit down with everything you need and get August officially checked off your list. ✅

🎉 “JUST WRITE IT OFF!” 🎉

Do you feel like the phrase “write-off” gets thrown around like confetti? I do. 😂

Bought something for the business?

✨ WRITE-OFF!

Went out to dinner?

✨ WRITE-OFF!

Bought a new car?

✨ WRITE-OFF!

Bought a pony because your business needed one?

✨ …probably not. 😂

But here’s what a write-off actually means:

A legitimate business expense that qualifies as a tax deduction can reduce your taxable business income.

It does NOT mean the government gives you the money back.
It does NOT mean your purchase was free.
And it definitely does NOT mean you should buy something just because someone told you it’s a write-off.

For example, if your business has $100,000 of income and $20,000 of legitimate deductible expenses, those expenses may reduce the income subject to tax.

So when someone says, “It’s a write-off!”…

Your bookkeeper is quietly thinking:

“Okay… but is it actually a legitimate business expense?” 👀😂

That’s where proper bookkeeping—and a good tax professional—matters.

Keep your receipts. Keep your records. And please don’t believe everything you hear about “write-offs” on the internet. 😉

💰 LLC TO S-CORP? DON’T FORGET TO PAY YOURSELF!

One of the biggest changes when you elect S-Corp taxation is how you pay yourself.

As a single-member LLC, you may have been taking owner’s draws when you needed money from the business.

But once your business is taxed as an S-Corp, you generally need to pay yourself a reasonable salary through payroll for the work you perform for the business.

That means:

👩‍💼 You become an employee of your S-Corp
💵 You pay yourself through payroll
🧾 Payroll taxes are withheld and paid
📊 Your remaining business profit can generally be distributed separately from your wages

And no—you can't simply skip payroll and take everything as distributions. The IRS has rules around reasonable compensation.

Making the S-Corp election is only part of the process. Your bookkeeping and payroll need to be set up correctly, too!

Thinking about switching your LLC to an S-Corp? Talk with your tax professional first, then make sure your bookkeeping and payroll are ready to go.
